We have an exciting opportunity to join the Procurement and Logistics team as a Procurement Administration Officer.


A Procurement qualification is not essential, it is important that you have an effective grasp of administrative duties although experience of an ordering system and an efficient use of work/excel packages would be beneficial.


As the Admin Officer you will provide an efficient/cost effective Supplies function from order to delivery, and assist in other Logistics/Support Services functions.


  • To assess purchase order requests.
  • To raise, progress and chase purchase orders daily and capital orders as and when required, entering onto purchase ledger / stock ordering system.
  • To maintain, monitor and negotiate suppliers prices.
  • General office duties and to maintain Supplies office filing system.
  • Administer goods received on a weekly basis to a monthly deadline.
  • Liaising with software support internally and externally regarding any system queries or problems compromising the smooth running of the purchase order system, stock system and Regional Supplies system.
  • Liaising with suppliers to encourage them to meet organisational purchasing needs and persuades customers to use contract arrangements.
  • To initiate, implement and administer individual clothing requirements for all uniformed staff.
  • To maintain uniform stock levels and replenish when required.
  • Dealing with queries from YAS employees and suppliers.
  • Input of requisitions made by managers on a weekly basis to Regional Supplies Centre.
  • On delivery of RSC, to check and distribute goods ordered on staff sales.
  • Assist visitors where necessary

  • Determines the appropriate supplier, analyses financial and purchasing options for low value quotes.
  • Plans workload to ensure all order requests are processed, contracts reviewed and reports produced within set timescales.
  • Maintain and update of computerised records and files.
  • Follows departmental policies and procedures and comments on policies for own work area.
  • Responsible for the purchase of some goods and services.
  • Participates in audits and surveys of own and section work activities.
  • Operates within established policy/procedures to achieve targets, supervision available; uses initiative to analyse low value quotes.
