About You


We are looking to recruit a
Patient Access and Experience Administrator who would be responsible for improving patient access and patient experience across all 3 of our sites.


You will need to be confident in implementing change, have excellent organisational skills and be prepared to use your own initiative on a day-to-day basis.


Key Responsibilities

  • Producing the weekly GP and Allied Healthcare Professional rota and sharing this information with the Patient Service Team Manager for transfer to the clinical system
  • Managing and approving the GP and Allied Healthcare Professional annual leave rota
  • Using the data generated from the telephone and triage systems to work with the Patient Services Team Manager to review the clinical rota to see where improvements can be made to ensure maximum appointment capacity is achieved
  • Managing the GP and Allied Healthcare Professional locum budgets, liaising with and booking locum clinicians to ensure the service is always fully staffed
  • Work with the Senior Management, Operations Team, and Team Managers to ensure the delivery of the Access Improvement Plan and Access Recovery Plan
  • Manage the media in the waiting room (screens and posters)
  • Work with the Senior Management to improve the brand and reputation of the Practice using patient surveys (including Friends and Family Test and National Patient Survey results)
  • Log and cascade compliments and positive feedback and provide monthly report to Senior Management
  • Acknowledge, investigate, and respond to verbal and written complaints in conjunction with the relevant Team Manager or Clinician and provide monthly report to Senior Management
  • Ensure complaints procedure and leaflet is reviewed and updated annually
  • Liaise with the wider primary care team, external agencies as and when required
  • Implement the Practice's confidentiality and privacy policies
  • Follow the Practice's safeguarding policies and procedures
  • Promote and help maintain the Practice's health and safety policies and oversee health and safety within the dispensaries
  • Support the Practice with equality, diversity and rights of patients, carers and colleagues using the policies and procedures
  • Participate in any training programme implemented by the Practice as part of this employment. Additionally, take responsibility for own development, learning and performance
  • Help contribute to implementing change within the Practice
  • Undertake any tasks consistent with the level of the post and the scope of the role

Person Specification (All essential unless otherwise stated)

  • Ability to organise, plan and prioritise on own initiative, including when under pressure
  • Ability to review and scrutinise data for errors or gaps
  • Ability to communicate effectively, both verbally and in writing, with people, partner agencies and stakeholders
  • Ability to identify risk and assess/manage risk
  • Ability to maintain effective working relationships and to promote collaborative practice with colleagues
  • Demonstrates personal accountability, emotional resilience and works well under pressure
Education, Qualifications & Training

  • Proficient in analysing and interpreting data
  • Previous experience of managing budgets (Desirable)
  • Must have excellent Word and Excel skills
Experience

  • Experience of working with healthcare professionals and or previous experience in the NHS or social care or relevant field (Desirable)
  • Experience of partnership/collaborative working and of building relationships across a variety of organisations
  • Some flexibility to work evenings and weekends may be required, as will the ability to travel to different locations at short notice
Skills and Knowledge

  • Knowledge of general practice clinical systems, such as, EMIS and SystmOne (Desirable)
Other

  • Full UK driving license and access to own car.
