Internal Sales Coordinator
25 days holiday plus BH, 8.30am to 5pm Monday to Friday. Healthcare. 2 days Hybrid working from home.


JOB PURPOSE
Reporting to the Order Management Leader, this position will perform a key role in supporting

and managing the customer expectations within Sales.

Working closely with Supply Chain functions, focusing on tracking and monitoring the customerorders through the business, from initial customer order to final product delivery, ensuring aPremier CustomerExperience.

Pro-active management of problem concern / cause /countermeasure methodology will be a key part of the role, both internally and externally in orderto ensure that end customer satisfaction is achieved from an on time delivery (LISC) perspectivewhilesupporting the overall WIN Strategy.

Ensuring the development of key processes to maximise efficiencies and accuracy of order flow to invoice.


MAIN DUTIES


Primary day to day customer point of contact for global customers, providing proactive communication on all order related issues, starting with order progression and inventory control.


  • Order review and guidance based on stock and schedule review.
  • Monitoring of product shipments and management.
  • Ensuring customer requested delivery is achieved with a target of >95% targetingtimely LISC problem identification and resolution so that escalation andcountermeasures can be put in place, avoiding end customer shipping failures.
  • Develop communications and relationships between the company, Division and the customer.
  • For expediting purposes, a daily open order report must be produced to assist with thistask and maintained on a daily basis.
  • Deal with customer enquiries and requests in a professional manner. Use problemsolving skills and own initiative to respond to queries regarding invoice and deliveryproblems, credit note requests and returns. Take the necessary corrective action topreventreoccurrence.
Ensure that all computer and paper records are up to date and accurate.

All paper documentation that needs to be held centrally is held in D- Play active role in preparation for and participation in the annual stock check when required.


  • Manager customer electronic order process where applicable (EDI).Have a flexible approach to new tasks and special projects. Use own initiative and work together to meet requirements and goals of the Organisation. Proactively consider ways of improvingthe Organisation's efficiency and level of customer service.
  • Support and advise external sales working together with the person nominated as your'Buddy' forming a strong partnership and support to the global customers.
  • Provide a monthly report giving an update on all activity within your role during themonth. Include achievements, areas for improvement, jobs to do and challenges faced.
  • Participate in monthly team meetings contributing with ideas and initiatives.
  • Undertake additional duties as and when required.

KEY ACCOUNTABILITIES

  • Communicate and manage processes effectively in order to complement the companyWin Strategy achievement.
  • Successfully improve the communication between divisions and UK Sales so that the EDI order accuracy consistently year on year.
  • Ensure adequate processes and procedures are in place and visible.
  • Ensure no invoice is left unpaid beyond the contracted term.
  • Utilise Concern / Cause / Countermeasure in order to escalate and resolve issues withcustomer LISC achievement to >95%.
  • Manage local / customer owned inventory where applicable.
  • Participate in all relevant lean activity driving continuous improvements across the business.

JOBHOLDER REQUIREMENTS

  • Experience working within an office in customer services or sales order processing.
  • Self-Starter with experience in a results and target driven environment
  • Ability to work on own initiative and proactively take on tasks
  • Relevant experience in changing and developing customer / supplier relationships
  • Proficient in Microsoft packages
  • Excellent time keeping leading by example
