We have a new opportunity for an AV & Meeting Room Coordinator to join our Client Services team on a 3 month fixed term contract.

This role will be based at our London office.


Role overview
The hours of work are on a s hift rota between 08:00 - 18:00, 35 hours Monday to Friday. Some out of hours & weekend work (flexibility required).


You will be responsible for the delivery of comprehensive, efficient and error free service provision that meets the needs of the firm, covering both internal / external clients within client facing and internal meeting and training rooms within the London head office.

Reporting to the AV Services Team Leader, your main duties and responsibilities will include but are not limited to:

  • Go-to person for meetings and events whether in-person or virtual, offering expert knowledge and advice from inception to technical support and troubleshooting on the day.
  • To identify areas of improvement and achieve the optimum balance and integration of service across the offices, devising and implementing appropriate changes whilst ensuring client/customer needs are fully met.
  • Offer responsive online/remote support, quickly understanding the client's needs/issues to enable effective and swift resolve.
  • Deliver ongoing training to colleagues and assist with preparing training material and user guides.
  • Set up, prepare, configure, test, monitor, and troubleshoot all types of AV equipment for meetings and events dealing with all technical aspects.
  • Coordinate and plan meeting support for requirements, including meeting room setup and AV requirements.
  • Management of internal and client meeting room configurations, setting up rooms as per requirements in terms of furniture, technology, and equipment.
  • Perform onsite analysis, diagnosis, and resolution of complex AV hardware problems for a variety of end users, and recommend and implement corrective solutions, including offsite repair as needed.
  • Document instances of AV equipment failure, repair, installation, and removal.
  • Troubleshoot AV issues using the appropriate testing tools; make basic repairs as necessary.
  • Support the team in terms of video production as required to produce, dub, edit, and copy all AV media, uploading this to Vimeo, MS Stream etc.
  • Assisting external and internal clients with use of audio visual and presentation equipment (video and audio conferencing, sound systems, MS office tools, including PowerPoint (including adding graphics, sound and movie clips), still and video cameras.
  • Develop effective internal relationships, acting as the key point of contact, initially meeting and discussing AV and meeting requirements, organising and preparing equipment and presentation proceedings, supporting such presentations as required, trouble shooting defects and providing first line breakdown and basic maintenance support of AV equipment.


We are looking for someone who is an effective and intuitive communicator at all levels, capable of establishing immediate rapport with proven organisational skills.

You will need the ability to handle conflicting demands and/or challenging pressures for resources as well as being capable of working autonomously but also operating within a team environment.

You will need to be able to read and understand technical manuals, procedural documentation and user guides and have good knowledge of current network protocols, operating systems, software, and standards.


  • Previous practical experience in an AV or Technology communications environment.
  • Understanding of current technologies, with specific reference to VoIP and unified communications.
  • Technical knowledge of teleconferencing, presentation, and other AV hardware.
