Description

The Lower Limb Vascular and Lymphoedema Team works across East Lancashire to assess diagnose and treat peripheral arterial disease and Lymphoedema in adults.

The post holder will provide professional and efficient administration duties for the team, including being the first contact for patients who telephone with any queries.

The post holder will have an understanding of databases and inputting of data. The post holder will also be required to provide clerical support to staff as described in the job description.

  • To communicate clearly and accurately with patients who telephone with enquires.
  • Daily inputting of data from hard copy onto appropriate electronic system with speed and accuracy
  • To competently use electronic information systems to ensure data is protected against inappropriate use and patient confidentiality is protected at all times
  • To contribute to the efficient working of the team to ensure maximum productivity.
  • Contributing to the management of hard copy information by correctly following paper trail filing systems and archiving storage pathways

General clerical duties:
audio typing letters, photo coping, faxing, shredding and the transfer of internal post to and from appropriate collection point

The LLVS / Lymphodema Teams are small, busy and friendly teams and the succesful applicant will need to be a flexible team worker


COMMUNICATION

  • To meet and greet visitors to the department and ensure their appropriate reception
  • Handling of incoming calls (both Internal & External) in a clear and professional manner
  • Transferring calls to appropriate team member and /or taking messages
  • Make outgoing calls at the direction of other team members
  • Transcribing messages on the services answering machine left outside service hours and directing them to appropriate team member
  • To use Microsoft Outlook to enable communication to whole team
  • Daily use of electronic booking systems and accessing patient records via EMIS

TRAINING AND DEVELOPMENT

  • To develop and maintain competency as defined within the service Competency Manual
  • To attend trust mandatory training as required
  • To participate in regular reviews and annual Personal Development Reviews (PDR)
  • To participate in regular performance review and act on feedback

ORGANISATIONAL RESPONSIBILITIES:


  • Have knowledge of and adhere to all policies and procedures incorporating health & safety and fire lectures including COSHH
  • Collect and record information regarding own activities, working hours and mileage, submitting this promptly.
  • Collaborate with team members in order to plan staff rotas, training activities and annual leave efficiently, ensuring baseline cover is maintained.
  • Promote peoples equality, diversity and rights ensuring at all times privacy and dignity are maintained

PROFESSIONAL RESPONSIBILITIES:


  • Ensure the highest standards in accordance with Trust policies and procedures
  • Contribute to the Clinical Governance Agenda
  • Be aware of and work within the quality initiatives of the trust
  • Be receptive of, and participate in new methods of working and any research, trails or pilot studies for improvement of the service
  • Be proactive and supportive in the development of service and report to senior admin / clinicians within the team any ideas for service improvement
