  • The RoleThe role of an administrative assistant is to provide reliable and effective administrative support to the secretaries within the Private Client team. The Private Client team consists of five partners and a wider team of 18 lawyers/fee earners and four secretaries. You can expect to play an important role in ensuring the operational effectiveness of the group you support, helping it to run smoothly and efficiently. You will also gaining an insight into legal processes and exposure to a busy office environment and lawyers and professionals at all levels.

Areas of responsibility
Perform all manner of day-to-day admin tasks to support the secretaries and lawyers in the practice group, to include:

  • File management e.g., archiving and e-filing
  • Photocopying/scanning confidential documentation
  • Assist with processing ADIS requests and payment requests to include calls to new suppliers to verify bank details
  • Assist with file opening, to include inputting party details on OnePlace and the production of engagement letters
  • Process ePost and hard copy post to include collation of enclosures
  • Book couriers
  • Assist with production of proformas in advance of billing
  • Assist with invoice tracking and chasing prior to finalisation
  • Keep team lists of bills despatched up to date
  • Any other admin tasks that support the smooth daytoday running of the Private Client team.
Our admin assistants are eager to learn, highly organised and have great attention to detail. Strong communication and interpersonal skills are also important.


This valuable support role will consist of the following key tasks, (although this list is not exclusive or exhaustive and the post holder will be required to undertake such tasks as may reasonably be expected within the scope of this position).


  • Qualifications and Experience
  • Five GCSEs (or equivalent) A
  • C (including Maths and English
  • C or above)
  • Preferrable to have A-Levels (or equivalent) including English (predicted grades will be accepted)
  • Intermediate knowledge of Microsoft Outlook, Word, PowerPoint and Excel
  • Intermediate formatting skills
  • Good numerical skills
  • Excellent English and grammar
  • An interest in business/ learning about how law firms work
  • Some administrative experience gained through a previous role, apprenticeship or work experience placement is desirable but not essential
