Job Purpose:
To ensure the provision of PPM schedules and all relevant records are kept up to date. To maintain Asset register for Marks and Spencer dependent upon area and support other areas as and when required. To ensure the accurate capture of relevant data pertinent to the role. To deal with any additional requests from line manager

Key Accountabilities

  • To arrive at the appropriate time before the start of shift to plan and prepare for the day. To maintain a professional appearance.
  • To read and understand Company HR policies and guidelines in particular guidelines for reporting in sick, scheduling holidays, dress code and timekeeping. Ensure pass card and name badge are worn at all times whilst within the call centre.
  • To represent the company in a professional and competent manner at all times and develop strong working relationships with City and Customer colleagues.
  • To ensure compliance to Call Script and capture relevant data when assisting helpdesk in answering calls from the inbound queue.
  • Consider the impact of own actions on other members of the department & Helpdesk staff and take pride in being part of a team.
  • To approach Asset/PPM Manager with any grievance or problem that may arise.
  • To visibly demonstrate enthusiasm and positive behaviour.
  • To ensure effective written and verbal communication of all relevant information pertinent to the role.
  • To update Asset/ PPM Manager on a regular basis with information on the Asset Team performance and to identify areas of the team which may require development.
  • To effectively manage self in order to prioritise workloads ensuring departmental goals and objectives are met on an individual and team level.
  • To extract and collate Asset team information on a daily, weekly and monthly basis or as and when requested.
  • To plan and set up all PPM schedules and distribute paperwork to Engineers as per the schedules.
  • To process all PPM paperwork into relevant spreadsheets
  • To update data base with relevant information captured on returned PPM sign off sheets relating to asset condition colour code.
  • To add returned PPM sign off sheets on to relevant PPM job Asset portals.
  • To ensure all changes that are highlighted by engineers on PPM sign off sheets are accurately recorded on system
  • To update and maintain Asset Register.
  • To liaise with City Field Management and City Management team and build relationships.
  • To ensure all PPM documents are controlled re the Document Control process.
  • To check and sign of for payment all PPM invoices.
  • To check Doc Man on daily basis, ensuring all invoices are checked and validated for payment.
  • To add all invoices and relevant worksheets on to relevant PPM job to ensure we hold an electronic copy of each contractors certificates and remedial issues.
  • To ensure all remedial issues that are highlighted at time of PPM are forwarded on to OSS Team
  • To record and maintain accurate gas certificates ensuring all compliance procedures are met.
  • To plan gas engineers future PPM visit in accordance with current certificate date ensuring compliance procedures are met.
  • To highlight to store managers any gas equipment at risk or immediately dangerous in store, by letter advising store manager of warning notice on equipment.
  • To Update and maintain gas trackers and warning notice file ensuring all files are sent to gas safety manager and gas supervisors on a weekly basis.
  • To manage jobs logged without Asset numbers and update as required.
  • To manage and maintain rental agreements and procedure's.
  • To track update and process all rental requirements that are issued through pipeline.
  • To update rental spreadsheet adding and removing data when new rental equipment is hired and removing from spreadsheet when equipment is off hired.
  • To liaise with all hire companies to maintain accuracy of records.
  • To Liaise with Marks and Spencer's head office relating all hired equipment on register in order for Customer to maintain site costs.
  • To liase with AMM's in relation to rentals.
  • To action any corrective actions highlighted in performance reviews and 11's.
  • To visibly demonstrate enthusiasm and positive behaviour.
  • To own and display City values, respect and value others and work as one team.
  • To attend training courses as and where necessary.
  • To comply with any other reasonable request from the Asset/PPM Manager.
Knowledge, Skills and Abilities

  • Educated to GCSE / Standard Grade level
  • Ability to extract, collate and present performance data relevant to the business
