Main Areas of Responsibility

Your responsibilities will include:

  • To be responsible for the academy Purchase Orders processing.
  • To liaise with budget holders to check details, including supplier details, correct budget codes, sufficient budget funds.
  • To scan and upload purchase order and supporting documentation into the federation invoice processing system.
  • To transfer authorised purchase orders to suppliers
  • To check deliveries to the Academy and liaising with Premises staff for distribution to departments.
  • To scan delivery notes and upload to relevant purchase order in the federation invoice processing system.
  • To be responsible for processing all credit card invoices, including uploading invoices, matching transactions, obtaining Principals authorisations, and uploading credit card statements into Federation central portal.
  • To be responsible for creating and populating online parental payment accounts for Food Technology, trips, peripatetic music tuition and any other required payments.
  • Dealing with incoming and outgoing Finance Post.
  • To raise cheques / BACS for purchase invoices
  • To make journal entries on accounting system
  • To be responsible for the academy Free School Meal procedure
  • To support the process of and respond to audit requests.
  • Ensuring all matters regarding Academy insurance are dealt with in line with Federation procedures
  • Ensuring the academy's financial procedures operate in accordance with statutory guidelines, Academies financial regulations and guidelines set out in the academy's policies and procedures
  • To cover the Receptionist lunch and to cover reception when the receptionist leaves between 4pm 5pm.
  • Additional tasks as may be reasonably requested by Office/Finance Manager
  • To complete general administration duties, telephone calls and secretarial tasks as may be reasonably expected, including absence cover for the receptionist, as required.

Qualifications & Experience

  • Educated to GCSE level or equivalent
  • Competent in the use of Microsoft Office packages
  • Proficient in the use of computers and databases
