Job Summary To undertake clerical & administrational duties for the TherapiesDirectorate: working as a team member to support staff and patients across the service.

To support the Reception Supervisor/Administration Manager in providing an efficient and professional, administrative and clerical service for the Therapies Directorate.

Specific Duties & Responsibilities1.

Clerical & Administrational 1.1To act as front line Reception for the Therapies Directorate, adhering to all Trust and Departmental policies covering all aspects, in a professional manner.

1.6To implement emergency contingency documentation in relation to computer break down re: Therapies patient referrals. 1.7To arrange and record bookings for Locum and Sign Language Agencies according to Departmental procedure.

1.8To ensure all clinic procedures are correctly followed, recording accurate arrival & departure of patients, the outcome of pathway and the closure of clinic at end of day.

1.9To locate, record and return all patient notes and other hospitalrecords.

1.10 Produce Clinic Lists, patient notes and record clinic outcomes on hospital IPM computer system.

1.11 Check patient details adhering to Caldicott procedures and accurately update patient records on Trust IPM as and when necessary.

1.12 To accurately record all statistical information both manually and electronically. 1.13 To sort and collate statistical information on therapy activity on a monthly basis.

1.14 To arrange ambulance bookings via the Trust IPM system.

1.15 To locate, retrieve and return patient notes across sites for Solicitors, Legal & Quality departments maintaining a high quality of filing and turn around.

1.16 To produce to a high standard via monitoring and evaluation, allDirectorate photocopying.


To record and produce:
accurate photocopying for requests of all patient notes in liaison with OfficeManager.


1.17 To record and amend clinic sessions/time slots in accordance with Departmental policy for staff Annual Leave / Sickness & Absence.

1.18 To collate, compile and maintain all staff personal files, adhering to confidentiality procedure. 1.19 To record all staff Mandatory Training and Course attendance in staff personal files. 1.20 To order, record and distribute staff uniform.

1.21 To ensure adequate stock levels of all stationary items.

1.22 To order, code and co-ordinate all paperwork for various ordering systems covering Goods & Service Requisitions, Gold/Green Stores Requisitions, General Indents for all Call-off orders relating to pre-set Standing Orders.

To collate all relevant paperwork appertaining to theordering system used and follow financial procedures (Pouch Return ensuring prompt payment of invoices. 1.23 To work across sites during staff shortage or exceptional demand for admin. and clerical workforce.

1.24 To type basic office correspondence as and when necessary.

Clinical Governance / Quality 2.1To comply with Trust Health & Safety Policies, actively participating in Trust Induction and Mandatory Training.2.2To ensure all hazards & incidents are dealt with effectively and reported according to Trust requirements.

2.3To comply with the Data Protection Act and Caldicott procedures. 2.4To comply with Trust and Departmental policies and procedures.
Education and training development 3.1 To actively participate in own Personal Development Plan and attend all annual reviews.

3.2 To attend and feedback as necessary all IPM Core TrainingProgrammes. 3.3 To attend and feedback as necessary IPM and relevant computertraining programmes.3.4 To develop and maintain departmental computer training programmes for all administrative and clinical staff
