This is an exciting opportunity for an experienced adminstrator to join our New Paediatric Virtual Ward service.

This service will provide support in the community for children with acute episodes of illness and to reduce length of stay in hospital and reduce hospital admissions.

The individual will work alongside the specialist nursing/physiotherapy team to provide a comprehensive function to Paediatric Virtual war in order to maintain an effective, efficient service.


To work collaboratively with other members of staff in all divisions to ensure tasks and correspondence are produced and distributed within acceptable timescales.


The post holder will carry out their duties in such a way as to make a direct and positive contribution to the organisation of the work.

It is essential that the post holder should exercise initiative commensurate with the role and vital that confidentiality be maintained at all times

Main Responsibilities

  • To provide a full and comprehensive administrative service to the Paediatric Virtual Ward Service.
  • To assist with coordinating both internal and external meetings and functions on behalf of the team, including sourcing and securing appropriate venues, preparing and circulating agendas and relevant enclosures from information received, ensuring equipment is available and organising refreshments.
  • To attend meetings, take, produce and circulate accurate, complex required.
  • To deal appropriately with enquiries from staff, external parties and other departments.
Admin Duties

  • Provide contact for written and telephone enquiries on behalf of the team, using judgement to establish the validity and priority of the contact. To liaise effectively with patients, parents, families, staff, managers and outside agencies in order to ensure sound communication within the division/department.
  • Exercise independent judgement and initiative when problems arise by taking appropriate action to resolve the problems or by referring to the appropriate person or department.
  • To assist appointing managers within the team with the organisation of recruitment and selection, including completion of recruitment documentation for signature, arranging interview dates, venues and timetables and the completion of commencement, amendment, transfer and termination forms and letters as required.
  • To order nonstock and stock items for the team and other departments within the Trust on a regular basis, ensuring adequate stock levels and recording mechanisms are maintained.
  • To provide secretarial/administrative assistance in the management and recording of divisional/department complaints and clinical incidents and ensure that accurate recording and distribution systems are in place and maintained.
  • To ensure that all forms signed by the team are completed fully before sending (eg study leave requests, charitable fund forms, requisition orders etc).
  • The ability and commitment to work as a team member and be able to adhere to strict deadlines by managing own workload, prioritising tasks and helping colleagues with heavy workloads.
General

  • Implementing existing policies and procedures, e.g. sickness absence policy etc.
  • Development and implementation of new procedures within the Team.
  • Cooperate fully in the introduction of new technology and of new methods of working as appropriate to the work of a personal assistant/secretary.
  • Through selfdevelopment, continuously update knowledge of new trends and maintain and improve knowledge and competence.
  • Undertake all mandatory training as required by the Trust and ability and willingness to undergo further training as necessary.
