The duties for this role shall be to support the delivery of the Trusts strategic objectives in relation Payroll, Pensions, and other HR related administration activities.

To provide a high-quality, accurate payroll and pension services, which is essential to their success as an employer of the region and within the education sector.

As the HR Payroll and Pensions specialist, you will manage the Payroll and Pensions system (iTrent) and ensure that the system is maintained and well managed on a day-to-day basis.

Some of the responsibilities that you will have will be the operations of payroll and pensions, providing information including reports when they are required to support the strategic and operational function of the business.


Duties include:

Payroll and Pensions:

  • Oversee the processing of Central and Academy payrolls
  • Deal with payroll queries on behalf of staff in conjunction with systems and payroll team
  • Ensure an accurate and timely payroll, including but not limited to basic pay, payroll taxes, statutory and supplemental benefits, etc
  • Produce and submit monthly electronic document to payroll in line with deadlines
  • Submit forms relating to new employees, contract changes and leavers as well as deduction of pay forms all to be submitted with cut off dates in mind and where necessary warning staff of delays which could impact upon their pay
  • Design payroll process, procedures and approaches for consistency, accuracy, and compliance
  • Work with the Head of HR, to manage external payroll contracts
  • Be involved in the ongoing improvements of the system, supporting all staff in relation to pay and pensions inquiries.
  • Manage ongoing service delivery and compliance with reporting requirements
  • Own monthend close, quarterend and yearend processes working effectively with the Central Finance Team to review/approve journal entries, account reconciliations and accruals etc.
  • Ensure all payroll regulatory filings are completed timely and accurately
  • Lead payroll development and implementation process for new entities
  • Partner closely with internal partners to provide our employees with a firstclass on boarding and payroll experience
  • Maintain clear records and deal with any queries from staff or payroll
  • Proactively prepare relevant management reports, metrics and statistics as needed
  • Ensure that all training is up to date for both the wider Central team and self.
  • Ensure processes and procedures follow current regulations
  • Respond and resolve queries relating to payroll
  • Calculate wages and deductions.
  • Collate, check, obtain authorization and submit all claim forms for teaching and nonteaching staff including mileage claims. This is completed by way of electronic submission. Ensure the resultant report is received back from payroll and checked for accuracybefore payment is made to staff
*Understand tax coding and tax code downloads

  • Liaise with HMRC
  • Submit pension data to the relevant pension providers on a monthly basis
  • Process all Expenses and Benefits forms for the purposes of notifying HMRC
Absence Management

  • Liaise with staff to ensure completion of all absence related paperwork ensuring doctors notes are held as required
  • Ensure Return to Work interviews are performed by academies.
  • Remind staff of the policy and monitoring to be carried out by the academies and the importance of procedure.
  • Support academies (where necessary) to Input all absence related data to SIMs to maintain accurate records and produce reports for senior HR and Executive Leadership Team (ELT) as required.
  • Produce and analyse sickness trigger points data and produce monthly reports for Head of HR teacher and Headteachers.
  • Remind Senior Academy Administrators to ensure absence returns are uploaded to payroll.
