Are you a well-motivated, organised, good team player and have secretarial experience?


As part of our developing and forward-thinking administrative team in Radiology, we are looking for a support secretary preferably with experience however not essential.

The post-holder will be expected to be an active team member, participating in all team activities associated with the role.

The successful applicant will work closely with the Senior Medical Secretarial team on a day-to-day basis and should have excellent secretarial skills, be able to work to tight deadlines as and when necessary and be able to work on their own initiative at times.

The role is part of a large administrative team situated at University Hospital Coventry.

You will be working closely with consultants and their teams, dealing with patient calls, and assisting healthcare professionals and departments across the Trust.


Main Duties involve:


  • Distribution of scan results
  • Booking appointments
  • Taking minutes
  • Producing newsletters
  • Escalating reports
  • Supervising reception team
  • Ordering stationary

This will require:

undertaking any project work as directed, including obtaining information from the Internet, collation and reporting of data in order to produce reports and spreadsheets utilising relevant Trust IT systems, as determined by the role, ensuring all relevant patient data is collected and input accurately in line with Trust guidelines.

These systems may include IPM, CRRS, Opera, CRIS, Ultra, Respond, IMPAC etc. Share ideas for potential service improvement


To assist with the implementation and maintenance of an efficient office management system/procedures to enable the department to optimise its patient care services.

This will require effective time management; arranging and preparation of correspondence and reports; establishing and maintaining efficient manual and electronic correspondence and documentation management systems; ensuring office equipment and stationery levels are maintained, processing orders as required


To support team members


This will require:

Undertaking appropriate staff training and development as required; providing cross-cover on a reciprocal basis in the absence of colleagues and providing day to day supervision where required

To input correspondence and material from dictation, audio or manuscript as required by the Imaging Team i.e. clinic letters, references, minute taking of meetings, rotas, etc

To deal with enquiries on behalf of the Imaging Team either by telephone, personal contact or correspondence, within agreed limits and take appropriate action,
