Key Responsibilities
- For Heads of Legal and other team members: Diary management & meeting organisation including the coordination of internal and external meetings, agendas and follow up actions.
- For Heads of Legal: travel & expenses organise business trips (within the UK and internationally) in line with policy guidelines. Expense processing and tracking.
- Day to day administration support including filing, photocopying, completing and submitting forms.
- Acting as 'gatekeeper' for work requests addressed to Legal from around the business and working with the Heads of Legal to ensure that all such requests are allocated.
- Adding legal contracts to and managing the Legal team's Document Management System, including locating contracts saved in it when requested by the Jupiter business, auditors, etc.
- Provide formatting support to team members in relation to Microsoft Office documents.
- Point of contact for daytoday internal and external enquiries, responding to queries and requests.
- Recruitment (as and when required) arrange interviews and ensure new joiners are onboarded effectively (e.g. IT and desk setup, organising introductory meetings and training where appropriate).
- Build effective working relationships across other departments.
- Identify improvements to working methods and processes, implementing changes, as appropriate.
- Provide cover for other secretaries as and when required.
- Proven Team Assistant / Secretarial experience, preferably in Financial or Professional Services.
- Accuracy and attention to detail even when working under pressure.
- Strong organisation skills.
- Strong communication skills, confident with liaising with internal and external contacts at all levels.
- A flexible, adaptable and collaborative team player with a positive and proactive attitude.
- Professional, reliable and conscientious, can be trusted with confidential and/or sensitive information.
- Ability to work with minimum supervision, showing initiative.
- Ability to prioritise and multitask.
- Experience of working at a law firm or within a legal department.
