You will need to be organised and able to prioritise the demands of a busy admin function.

You should be a calm, well-motivated person with a positive and flexible approach to your work and be able to adapt to changing/challenging situations.

The post involves contact with patients and their families either face to face or via telephone, so good communication skills are essential.

You will be required to maintain confidentiality and will be expected to deal with patients and relatives with courtesy and discretion at all times.

The post holder will be responsible for providing:

  • A welcoming and efficient reception area and a proficient administrative service. You will work closely with all staffing groups across the Adult Mental Health Service and other professionals both internal and external.
  • Have the ability to handle and prioritise incoming and outgoing calls. Deal with enquiries in an efficient manner as well as carrying out reception duties as required for the post.
  • To use a variety of electronic systems on a regular basis such as MS Office (Outlook, Word, Excel), MS Teams, Patient Administration System (RiO), Winscribe Digital dictation and the Cisco Telephony system.
  • Utilise the patient administration system (RiO) on a daily basis keeping accurate records such as booking of appointments, clinic letters, prescription queries and outcome letters. You must ensure that all patient records are kept updated in a timely, accurate and proficient manner.
  • You will carry out administrative tasks such as photocopying, scanning, uploading documents and other tasks required for service need.
  • You will manage and deal with calls from service users, families, carers, and other professionals and you will ensure these are dealt with appropriately.
  • You will prioritise and screen incoming correspondence ensuring it receives appropriate attention and is distributed to the correct Team/person in a timely manner.
You will work in conjunction with other administrative team colleagues to ensure adequate office cover is in place as agreed and planned by the Admin Team Leader
