Job description

Heard is a charity working with people and the media to inspire content and communication that changes hearts and minds.

We all know that being heard matters. On a fundamental level, good communication means being heard and feeling heard. And good communication is transformative. It can shift perspectives, and move conversations - and society - forward.

Heard strives to support our team to work with joy and confidence, every day.

From getting snacks that suit everyone's dietary needs for a team meeting, to ensuring payments for staff and collaborators are processed on time - we show up for each other so that we can do our work exceptionally well.

We are looking for an Operations Assistant to provide excellent support to the team. This involves helping to maintain and deliver our HR, finances, office management systems, and ad hoc operational projects.

What would I be doing?

  • Office management liaising with the building management, maintaining office supplies, and booking meeting rooms
  • Maintaining organisational systems (such as Salesforce, Zoom, and Google Workspace)
  • Supporting the Head of Finance with simple finance tasks, such as processing invoices and expenses
  • Supporting the Head of Operations and People, with HR paperwork, allteam activities (internal trainings and socials), and occasional special operational projects
  • Supporting the team with IT issues, directing to our external IT support (IT Outcomes) when appropriate
  • Providing ad hoc support to staff, for meetings and external trainings
These skills are key to the role, but we recognise you may not have experience on every point.

  • Organisational skills: Many things happen all at once in the run up to, and during, meetings and while delivering projects and regular tasks. You will be able to stay focused and organised so things are delivered smoothly and in a timely fashion, and so everyone else has what they need to be involved.
  • Problemsolving skills: Inevitably, things sometimes go wrong or take unusual turns you'll be able and up for working with your team to find solutions to the issue at hand.
  • IT skills: You will be IT literate as you will be working on different programmes and will need to keep track of information as well as assist staff who liaise with IT support.
  • System thinking: You are a quick learner, and will be able to get on with the tasks required, and be able to use your initiative to make improvements in systems in place.
