This role involves working within a busy Ophthalmology department at St. Paul's Eye Unit.

St Paul's Eye Unit


The role will involve all aspects of administration work within the unit, call centre, reception work, registering of referrals, booking appointments, and preparation of relevant paperwork.

Detailed job description and main responsibilities

  • Extract and prepare case sheets from the filing system for allocated clinics, cancellations, research and audit purposes.
  • Receive and book in patients on arrival in Outpatients/Primary care.
  • Make appointments as requested. Liaise with medical staff re overbooked clinics.
  • Deal with telephone and postal enquiries.
  • Ensure clinic booking summaries and clinic proformas are completed timely and accurately.
  • Open, sort and redirect mail.
  • Enter referral letters onto the Hospital Information Support System and book new appointments as required
  • Make up and file new case notes.
  • Cancel and rebook clinic appointments according to given instructions.
  • Liaise with Clerical Team Coordinator re missing case notes.
  • Maintain and enhance an efficient and helpful attitude whilst undertaking the above duties.
  • Ensure all Outpatient discharges are recorded timely and accurately.
  • Ensure that attendances, DNA's and discharges are recorded accurately and timely.
  • Deal with DNA follow up appointments.
  • Cover/rotation for other Clerical Officers will be required.
  • To undertake any other duties appropriate to the grade as delegated by the Clerical & Administration Manager/Clerical Supervisor.
