We wish to appoint, for a September start, a professional and proactive School Secretary to provide excellent administrative and secretarial support to the Pre-Prep Head and teaching staff.

Actively managing and coordinating diary commitments and ensuring the efficient running of the Pre-Prep School office and providing a warm welcome to the pupils, parents and visitors to the School will be integral to this interesting, demanding and rewarding role.

Working Pattern 37 hours per week

Term time plus 3 weeks (39 weeks)

8.30am to 4.30pm Monday to Thursday (4pm Friday)

(halfhour unpaid lunch break daily)


Salary Level £29,273(A26)


Actual Annual Salary £24,927 including holiday pay

Responsible to:


The Head of Pre-Prep for line management responsibilities and the Bursar & Chief Operating Officer, who has overall responsibility for support staff.


Responsible for:

Providing a range of administrative services to the Pre-Prep Head and teaching staff when required.

Organising the smooth running of the Pre-Prep School office and to provide the first point of contact for all visitors to the school and all telephone enquiries.

This is pivotal role within the Pre-Prep and, as such, the work will be varied, interesting and rewarding.


Main Responsibilities

  • Acting as confidential PA to the Head of the Pre-Prep.
  • Ensuring the day-to-day office administration is efficiently carried out, including telephonist/receptionist duties and accounting administration.
  • Assisting with admissions to the Pre-Prep in liaison with the Admissions department.
  • Assisting with marketing the Pre-Prep in liaison with the Marketing department.
  • Assisting in organising certain key events in the year such as Open Morning.
  • Administering trips and extra-curricular activities in liaison with the Bursar and School Accountant.
  • Assisting the Head in producing a weekly newsletter.
  • Updating the school website with Pre-Prep information.
  • Entering, updating and maintaining all pupil records and files on SIMS.
  • Organising and undertaking communications to parents ensuring School comms is used effectively in liaison with the central school office.
  • Undertaking the running of the Pre-Prep School Uniform shop.
  • Administering the Nursery Voucher Scheme each term.
  • Undertaking other such associated duties as the Head of the Pre-Prep may reasonably require from time to time.


The above list is not exhaustive but summarises the key roles to be performed and other duties may be required as directed by the Pre-Prep Head.

A willingness to respond supportively to changing circumstances and/or the changing needs of the School is part of working in a school environment and is expected of the postholder.

If applicable, you will be automatically enrolled into the King Edward's School, Bath Group Personal Pension Plan with an employer's contribution of 6% of salary, to be matched by a 2% employee contribution.

This duty is in part exercised through the development of respectful caring and professional relationships between staff, children, and young people.

Staff are expected to be familiar with the local child protection arrangements and understand their responsibilities in order to safeguard and protect children and young people.


Person Specification

Qualifications
A good academic record, ideally educated to A level or equivalent

Excellent literacy and numeracy skills and a sound command of written English

Have undertaken Safer Recruitment and/or Safeguarding Training

Be First Aid trained


Knowledge and Experience
Experience of working in an administrative role

Proficient in the use of Microsoft Office, e.g. Outlook, Word, Excel etc

Ability to prioritise tasks

Proficient in the use of SIM's or other School Information Management Systems

Experience of working in an administrative and/or customer facing capacity within an education setting


Personal Qualities
Be smart and professional in appearance

Excellent communication, including telephone skills and interpersonal skills, and an ability to deal confidently with a variety of individuals, including senior level management

Excellent time management skills, meticulous attention to detail, and be able to prioritise

Ability to maintain confidentiality and to approach all confidential matters with discretion, sensitivity, and diplomacy
