This is a dynamic and demanding role and will involve considerable flexibility and the ability to prioritise tasks in order to deliver operational support for all staff within the Institute and wider community.

The post holder's role will be to ensure effectiveand professional liaison and communication with academic, administrative and external customers, to facilitate the smooth running of day-to-day activities by following and implementing processes and managing issues arising.

The post holder may be requiredto provide support and guidance, in a supervisory capacity to other members of the operational team.

Key Responsibilities and Duties

  • First point of contact and offer an excellent customer care service to all staff, postgraduate students and visitors, including onsite operational support as and when required. Effectively signposting stakeholders to other business areas as required.
  • Support stakeholders/colleagues by proactively finding solutions for problems presented and work independently to find resolution, recognising when escalation is required.
  • Work to deadlines when necessary in order to ensure activity is delivered in a timely manner.
  • Provide support and guidance, in a supervisory capacity, to other members of the operational team on operational process.
  • Assist operational colleagues with the delivery of key processes, across all operational areas.
  • Organise travel and accommodation for staff and students
  • Servicing and organisation of meetings/committees, including booking rooms, ensuring appropriate equipment and refreshments; collating and distributing papers, producing minutes and monitoring the completion of actions.
  • Support all aspects of organisation relating to seminars/conferences/events, including liaising with speakers, sourcing a venue, audio visual equipment, arranging travel, booking accommodation, and arranging catering (lunches, dinners and receptions).
  • Process procurement requests ensuring full compliance with the platforms financial regulations, including requisitions, fees and expenses claims, oneoff payment requests, use of procurement card, activity related to Frequent Traveller Card (FTC) and fieldcourse expenditure.
  • Provide operational support for recruitment and changes to existing staff, including; supporting the completion of required documentation; facilitation of appropriate approvals; coordinating the creation of job descriptions; liaising with HR and finance colleagues;providing operational support to the recruitment panel; completing appointment paperwork; processing of timesheets or adjustment paperwork; responding to applicant or staff queries. Essential skills, knowledge and experience

  • Good standard of education, with a C or above in GCSE Maths and English Language or equivalent.
  • Excellent IT skills with an ability to use Microsoft Office packages such as Word, PowerPoint, Excel and Outlook.
  • A high level of accuracy and attention to detail.
  • Ability to display a high level of sensitivity, discretion, and maintaining confidentiality.
  • Ability to deliver exemplary customer service.
  • Excellent communication skills (written and verbal) demonstrating an ability to deal with a diverse range of individuals both internal and external to the organisation.
  • Excellent organisational skills with the ability to plan and prioritise multiple conflicting priorities in a busy environment.
  • Demonstrate initiative and the ability to solve problems with mínimal supervision.
  • A team player with the ability to support colleagues.
  • Be adaptable and willing to undergo training where needs are identified.
Desirable skills, knowledge and experience

  • Knowledge and experience of using systems such as Oracle, iProc and Key Travel plus knowledge of using website and media platforms.
  • Previous experience of minute taking.
  • Experience of working within the education sector.
  • Experience of providing support and guidance to colleagues.
