Showcasing the biggest names in music, comedy, entertainment and sport, we host over 100 events and welcome 800,000+ visitors through our doors each year.

Home to the Nottingham Panthers Ice Hockey Team, where they play 30+ home league & cups games each season.


Executive Personal Assistant


We are looking for someone that can offer a commitment to excellence and take a proactive approach in supporting the CEO and Commercial Director, across the full spectrum of secretarial, administrative and operational support functions.


Key Duties

  • Provide high quality secretarial and administrative support to the Senior Management Team, primarily focussed on the Commercial Director, acting as the first point of contact, dealing with correspondence and phone calls.
  • To maintain the financial reports for National Merchandise and show schedule on a weekly basis.
  • Develop and maintain excellent working relationships with the Senior Management Team, Board members and external partners.
  • Assisting with the effective purchasing, booking and arrangement of travel, transport, accommodation and other operational necessities.
  • Be a key and active member of the National Ice Centre team, assisting with the smooth running of the business. Keeping track of tasks and deadlines for the Commercial Director.
  • Arrange meetings, distribute reports and take accurate minutes at a range of meetings including the corporate governance of the Company in the absence of alternative PA support.
  • Collating and reconciling receipts and expenses for the Commercial Director and assisting with the budgeting and financial recordkeeping of merchandising at events and venues.
  • Be an additional point of contact for promoters making enquiries and seeking to schedule events in the Arena diary.
  • To attend a range of meetings both internally and externally as required, and actively participate where appropriate.
  • To undertake other tasks as may be allocated from time to time by your manager.

Requirements:


  • Exceptional administrative and organisational skills.
  • Highly effective verbal & written skills including accurate minute taking and proof reading skills.
  • Strong IT skills including Microsoft Word, Excel, PowerPoint and Outlook.
  • Diary management experience.
  • Experience in organising travel and accommodation.
  • Professional approach with a full understanding of the corporate governance procedures of a a major company.
  • Ability to respond to customer service issues.
  • Understanding of relevant financial procedures and the reasons they are in place.
