Our family business is looking for an Executive Personal Assistant to support the CEO and the two other family directors.
As an Executive Personal Assistant, you're an organisational driver who keeps family business moving. You thrive on getting into the diaries of major stakeholders, coordinating key meetings and actions.
The Executive Assistant will be tasked with a range of complex duties, often entrusted with confidential information, and will be relied upon to keep the family running at its peak performance, in their work lives but also their personal lives.
- Act as the pointofcontact between executives and internal or external clients / colleagues
- Schedule and organize meetings, take minutes and write meeting briefs
- Maintain comprehensive and accurate records
- Prepare reports, presentations, spreadsheets and other materials
- Perform minor accounting or billing duties
- Answer phone calls reflective of the organization and executive.
- Welcome visitors, identify the purpose of their visit and serve as a host for clients and guests
- Manage the executive's calendar, including making appointments and prioritizing the most sensitive matters
- Maintain filing and database systems and look for opportunities to improve systems
- Arrange travel including flights, ground transportation, lodging, dining and other activities
- Take on personal assistant responsibilities, as required

The personal assistant responsibilities:
- Arrange travel including flights, ground transportation, lodging, dining and other activities
- Maintain a calendar and update the schedule accordingly
- Run errands, as requested
- Source, manage and pay external vendors and household staff / staff members
- Maintain lists and help the individual or family accomplish key goals
- Help to coordinate functions, events and other activities
- Maintain a rolodex, update when necessary
- Engage in the completion of school, camp, healthcare, special programming forms
- Coordinate and effectuate mailings such as holiday cards, invitations
- Research and execute special projects
- Be responsible for "gifting" and delivery of said gifts
- Engage in light finance and finance coordination for planning and tax purposes
- Create files, spreadsheets and other documentation of certain matters, as necessary
- Prepare reports, presentations and other materials
- Manage healthcare reimbursement if necessary
- All in all, engage in tasks that support the proper functioning of an individual or family personal life, including children schedules, travel, wellness activities, asset maintenance, among other categories
Salary:
£30,000.00-£40,000.00 per year
