The Role

  • Responsible for inputting all supplier invoices and ensuring all suppliers are paid within agreed terms
  • Manage the Purchase Ledger team to ensure a smooth running of the function and targets are met
  • Ensuring the purchase ledger is accurate and up to date
  • Managing the monthend process, required for the production of Management Accounts

Main Tasks and Responsibilities:


  • Setting up new suppliers and following internal controls
  • Processing a large volume of invoices ensuring the team meet the strict deadlines specified
  • Ensure accuracy when matching invoices to purchase orders within Proactis
  • Dealing with invoice queries in a timely manner to avoid delays in payment
  • Assisting the organisation with the use of the system
  • Liaise with Services to ensure invoices are received in a timely manner
  • Processing employee expenses in accordance with Company policy
  • Generating payments to suppliers on a weekly basis and ensure adhoc payments are kept to a minimum
  • Work closely with the procurement Office
  • Manage the Reconciliation of supplier statements on a monthly basis to ensure that the purchase ledger is up to date
  • Manage the production of month end reports to ensure these are produced in line with the Finance team deadlines
  • Produce any ad hoc reports as necessary
  • Ongoing weekly reporting to the Transaction Manager and maintaining input target
  • To support with administrative duties within the finance team
  • Undertaking other reasonable duties as identified by your manager
  • Assist with the system maintenance of Proactis
  • To undertake, any reasonable travelling requirements, in order to fulfil the tasks and responsibilities of the role
