We are looking for an Administrator to join our Hayward Operations team on a full-time, fixed-term basis.

About the team and the role

The Hayward Gallery and Hayward Touring
Since 1968 the Hayward Gallery has been one of the world's leading public galleries of modern and contemporary art.

The hub of visual arts at Southbank Centre, the Hayward plays a vital role in the London art scene through its original programme of large-scale exhibitions, smaller project shows and outdoor installations.

Hayward Touring produces exhibitions that tour to galleries, museums and other publicly-funded venues throughout Britain.

Exhibitions are seen by up to half a million people in over 100 cities and towns each year and range in scale from the British Art Show - the largest and most ambitious survey of recent British art, organised in different cities around the country every five years - to international group exhibitions produced with guest curators, artists and writers.


Objectives:


To help ensure the smooth running of the Hayward Operations department by providing effective administration support to the Hayward Operations & Logistics Manager and the Hayward Installation Manager.


Main Responsibilities:


  • Deal promptly and effectively with phone and facetoface enquiries on behalf of the Hayward Operations team.
  • Support the management of Hayward Touring and Hayward Installation teams including:
  • making hotel bookings, travel arrangements and processing related paperwork
- assist with booking freelance staff and processing related paperwork
- holiday and sickness absence reporting and recording
- ad hoc expenses claim administration

  • Place orders for materials and other items with suppliers as requested/directed
  • Coordinate and book annual maintenance services required
  • Assist with budget management including:
  • Log orders and raise them through the computerised finance system
  • Process and chase invoices
  • Handling and monitoring petty cash
  • Process finance related paperwork
  • To assist with the management of the administrative systems within the Hayward Operations team, to include filing and archiving, management of stationery and photocopy areas, communal areas, general tidiness of the office and storage spaces.
  • Compile agendas, complete meeting notes and take minutes for meetings as requested.
  • Process room bookings in Artifax (our room booking system).
  • Provide support to the wider Hayward Operations department where necessary as directed by the Operations & Logistics Manager or the Hayward Installation Manager.
