Temporary Support Assistant/Admin - Adults Commissioning

Pay Rate:
£12.02 per hour PAYE


This opening assignment is for 6-7 months

Key Responsibilities:


  • Administration for various multiagency panels, which may include sensitive, confidential and distressing information (book meetings, invite attendees, manage the referrals, obtain updates, draft agenda, book time slots, take notes, circulate minutes and papers).
  • Administration for various internal management meetings (book meetings, invite attendees, draft agenda, take notes, circulate minutes and papers).
  • Provide administration support across Adults Commissioning for specific projects and programmes.
  • Diary management and professional support for Assistant Director and other senior managers.
  • Set up orders and approvers on Matrix, raise Purchase Orders, pay invoices, order IT equipment and stationery, book training.
  • The work will be fast paced and varied, with unpredictable demands and exposure to confidential and highly sensitive information.
  • Type supervision notes and other documents, upload documents to Mosaic and add case notes based on agreed wording. Drafting, typing and sending letters.
  • Photocopying and printing documents
  • Meeting and greeting guests and professionals, taking phone calls and messages.
  • Coordinating large scale/complex events which will involve arranging dates, booking rooms, informing attendees of arrangements and distributing highly confidential papers.
  • Responsible for the administration of small complex projects involving, assisting with planning timescales, research, provision of statistics, reports, contributing to targets as directed by project leader.

Qualifications:


  • Educated to degree standard or equivalent relevant qualification and experience.

Skills & Experience:


  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  • Experience of working within administrative office systems/practices and providing effective administrative support.
  • Some working knowledge of the practice of local authority meetings, decisionmaking and the roles of the Principal Leadership and Senior Management Teams.
  • The ability to work independently, confidently, flexibly and in close partnership with others, both externally and in the Directorate and wider organisation.
  • The ability to manage an effective, efficient, professional service to a range of internal and external clients
  • Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
