Two exciting posts available in WLFS Primary Healthcare.


We are currently looking for two Band 4 Administrators:
One post is Full time (37.5 hours) Permanent.

One post is a 12-month Fixed Term Contract Part-time (28 hours split over 4 days) to provide maternity cover.


The post holders would be responsible for the planning, management and delivery of a comprehensive administrative and secretarial service to the Primary Healthcare Service (PHC) for West London Forensic Service.


The successful applicants will be based in the Primary Healthcare Department, Thames Lodge on the St Bernard's site and will be responsible for ensuring support and cover to all three PHC departments within the site, as and when required.

We are seeking to appoint a confident, organised, proactive and approachable person with a good eye for detail. Experience of using Excel and EMIS would be beneficial.


To maintain a booking system for the management of primary healthcare appointments within the Tony Hillis Wing, The Three Bridges and The Orchard Units which includes booking clinics for GP, Practice Nurses, Chiropodist, Optician, Dentist, Retinal and other visiting screeners.

To manage the assessment process for all referrals made to the PHC.


To liaise with the wards and the named administrators for each Directorate regarding referral management and appointments, and to reschedule appointments as appropriate.


To liaise with the Practice Nurse regarding the triage service to ensure that all urgent cases are prioritised and seen as appropriate.


To send, track and chase up referrals to secondary care/acute hospitals and oversee the management of tests results and subsequent follow up appointments to the PHC.

To chase appointments and discharge letters


To ensure all consulting/treatment rooms are set up and prepared for the range of appointments booked in to the Primary Healthcare Centre, ie.

GP, optometrist, chiropodist, practice nurse, physiotherapist etc.

The Primary Healthcare Service is responsible for providing physical healthcare to the service users within West London Forensic Services. Service users attend the clinic from low and medium secure wards across the St Bernards site. The team consists of GP's, practice nurse, chiropodist, opticians, dentist and other adhoc services.

This vacancy would suit somebody who is a team player, well organised with excellent communication skills, a caring attitude and able to work with frequent interruptions.

As well as main duties and responsibilities as outlined above, other specific responsibilities are:
Communication

  • To have regular communication with a range of clinical and non-clinical staff concerning a range of issues including progress against quality standards, waiting times, patient treatment schedules. Communication will also involve outside agencies, service users and families which include exercising judgement on exchanging confidential, complex, sensitive or distressing information on issues relating to the PHC
  • To manage the reception area and deal with visitors, staff and service user queries in a courteous and professional manner
  • To deal with incoming telephone calls, address general enquiries and to take messages as appropriate. This may include dealing with distressed patients or relatives of patients who may become verbally aggressive/abusive. To exercise judgement on the most appropriate response
  • To be involved in the secondary induction of new staff joining the PHC. This would include orientation of the Centre and policies and procedures in operational for the safe and efficient management of the servic
  • To deal with enquiries from service users within professional boundaries and offer assistance as required
