Permanent - Full Time hours per week


We are looking to recruit an enthusiastic and well organised person to provide administrative support to the wards on our acute working age adult mental health inpatient Unit, Green Parks House.

You will be required to provide day‐to‐day administration support to the Ward Manager and staff team on the ward. Excellent communication skills and good administrative and IT skills are essential. You must be able to demonstrate sensitivity and tact when dealing with service users and their families.

You would be joining a very supportive and friendly team. Supervision and training opportunities are available as part of integrated professional development.

To provide an integrated and comprehensive administration and secretarial role supporting the multi-disciplinary team including managers, nursing staff and clinicians within the acute working age adult wards at Green Parks House.

The role will include the organisation of service users' records and database, competent keyboard skills and the ability to learn different software packages.

To liaise with external agencies as required.

Key Task and Responsibilities:


  • Effectively provide and implement core operational team administration requirements within the inpatient unit:
  • Facilitate the formatting and completion of discharge summaries within agreed time
  • Undertake word processing for the provision of required reports, letters, summaries, within the set standards.
  • Use RIO (electronic system) to record and retrieve information on both service users and caseload
  • Support routine data collection and analysis as part of inpatient ward's quality monitoring systems
  • Implement and maintain effective filing systems, ensuring that service user records are kept safe, confidential, up to date and accessible.
  • Respond to incoming calls and deal with enquiries in accordance with management procedures. Record all messages accurately ensuring appropriate action is taken and messages passed to the relevant discipline/clinician. Use initiative in finding appropriate clinician for advice if required staff member is absent.
  • Maintain the ward Eroster and making sure all shifts are covered, liaising with the Trust's Temporary Staffing office as required.
  • Order supplies/equipment for the ward using the Trust's electronic procurement system.
  • Report repairs and cleaning requirements to the appropriate service provider.
  • Use the Docman system to obtain and send patient information to GP surgeries.
  • On discharge ensure service user files are scanned and uploaded on to the patient's database RiO within the agreed timescale.
  • Ensure the bed state is kept up to date
  • Coordinating professional visitors to the ward
  • Provide administrative support to clinical meetings including ward reviews and CPA meetings as necessary such as compiling time table, sending invitations, minute taking and updating electronic clinical records (RiO).
  • Implement and maintain effective communication systems with ward teams, acute in patient staff, community teams, GPs and service users.
