Responsible for a variety of tasks within the Evoked Potentials service including face-to-face patient and visitor contact whilst working on reception, dealing with patients, healthcare professionals, other administrative personnel and private parties via the telephone.

Ensuring the effective and efficient delivery of administrative duties such as booking appointments, sending out patient letters, preparing clinical reports and any other relevant administrative duties.

Main duties of the job

Managing outpatient/inpatient appointments

Handle enquiries by telephone, mail and in person

Accurately enter data into a number of IT based systems

Ensure all mail is dealt with and referrals are filed

Arrange and provide clerical support to service meetings, including taking minutes

Liaise with multi-disciplinary teams and administrative staff within NUH

Respond to queries from patients, relatives, GPs and other healthcare professionals

Type and send correspondence, diagnostic reports, teaching and scientific material

Maintain staff attendance records

The Evoked Potentials service is a patient diagnostic service. It is a small service that is based on the Queens Medical Centre Campus. The Evoked Potentials service is part of the Science & Technology Directorate which sits in the Clinical Support Division.


Evoked Potentials is a method of obtaining information about diseases by passively recording the electrical activity of body parts or by measuring their response to external electrical stimulus.

PATIENT MANAGEMENT
***The Service Administrator is the first point of contact for patients.

Managing outpatient / inpatient appointments as appropriate, and ensuring all referrals are suitably actioned.

Maintaining the confidentiality of patients and other hospital information at all times.


Required to accurately enter data into a number of IT based systems including any reports are sent to the appropriate system/s.


ADMIN & CLERICAL


To complete the role effectively the post holder is expected to exhibit high levels of proficiency in keyboard skills and accuracy in recording and filing information.

A high degree of patience, understanding and empathy is required towards patients and other members of staff.

Ensuring mail is dealt with and all referrals are filed appropriately and efficiently.

Arrange and provide clerical support to service meetings including the taking, typing and distribution of meeting notes.


Liaising with all multi-disciplinary teams and administrative staff within NUH as appropriate, including making arrangements for the admission of patients for tests where necessary.

Responding to queries from patients / relatives, GP's and other healthcare professionals with a thorough, courteous and conscientious approach.

Typing and sending correspondence, diagnostic reports, teaching and scientific material using word processor.


Ensuring completion of all administrative work in relation to the treatment of Out of Area and Private Patients referred to the department.

Order of routine stock and non-stock items for the department.

Maintain staff attendance records including all types of leave and sickness absence, reporting and recording information as necessary.


PERSONAL


Required to have an in depth understanding of a wide range of non-clinical work procedures and practices acquired through formal training and experience.


Specific personal capability requirements include:
Maintain high levels of concentration whilst working in a busy department with frequent interruptions from colleagues and patients. Expected to ensure that accuracy of work is maintained and use own initiative where appropriate.


Required to effectively cope with occasional distressing or emotional circumstances indirectly through the requirement to word process reports and / or directly through dealing with patients and staff either on the telephone or in person.

To be guided by principles and policies and expected to take action in order to meet expected results.

Knowledge of routine procedures including; using the Patient Administration System and databases. Undertake relevant training and maintain current knowledge of hospital policies.
