Outline of the role:
This is a 3-days
a week role (Tuesday, Wednesday and Thursday)
The role will be highly varied, challenging and diverse. Ideal requirements include a professional and personable individual who and has exceptional organisational and communication skills.
Main Purpose of Job:
Responsibilities will include but not be limited to:
- Greeting visitors appropriately and determine their needs
- Answering reception phone and distributing calls and messages throughout CDW
- Training temporary cover when necessary
- Other reasonable tasks as directed by your leadership team
- Ensuring all processes are followed and are consistent throughout the offices
- Monitor and maintain all shared mail boxes
- Sort and distribute incoming mail and deliveries, prepare outgoing mail and collections
- Monitor people coming through the reception doors
- Issue visitor passes where required
- Maintain an efficient and organised office environment
- Manage meeting room bookings
- Ensuring meeting rooms are setup ready for the day
- Organising client refreshments and uploading orders to Navision
- Setting up wireless access for external visitors
- Taking coworkers photos
- Maintaining office access tokens, lockers and desk booking systems
- Ordering stationery
- Logging visitors in the buildings visitor systems if needed
- Logging facilities incidents to our in house or the building facilities teams
- Helping to direct external contractors or the building facilities team
- Processing PREQ's and invoices within the reception and facilities dept's
- To be trained as a fire warden and first aider
Personal Attributes:
- An incredibly selfmotivated and highly energetic individual with the ability to learn and contribute
- Possess the ability to deliver flawless execution of administrative activities with high attention to detail, organisation and processes
- Maintain confidentiality and show discretion
- Be adept at prioritising workload by level of importance and urgency
- Microsoft Office skills (Word, Excel, Outlook)
- Able to demonstrate adaptability in response to changing needs and priorities
