Indefinite Position, 36.5 hours per week.
WMG is one of the largest academic departments at the University of Warwick.

We are currently looking for an efficient and organised administrator to join us as a Programme Coordinator, to provide administrative and clerical support within our Education Professional Services team looking after Part-time programmes.

WMG's Par-time programme comprise an exciting and varied range of Postgraduate and Undergraduate sponsored programmes, Degree Apprenticeships, Skills Centre and Overseas programmes.

This post will hold specific responsibility for supporting our new Skills Centre, which provides continued educational development opportunities to industry professionals.


Together with great attention to detail and strong IT skills, you should be educated to A-level standard, including A-C grade in GCSE English and Maths.

You will need to have excellent interpersonal skills, be extremely organised and have the ability to work quickly and accurately whilst under pressure in a fast-paced environment.

JOB PURPOSE:


To provide high-level administrative support for WMG's education programmes administering all functions of our student life cycle including support to the day to day delivery of taught modules and dissertation processes.


DUTIES AND RESPONSIBILITIES:


Stakeholder Support.

  • Act as the first and continuing point of contact for enquiries regarding education administration, providing advice to students, alumni, company sponsors, overseas partners and colleagues; providing detailed information and taking timely follow-up action as necessary on all aspects of course administration and ensuring online information is accurate and up to date.

Admissions and Onboarding.

  • Providing administrative support for arranging Induction events for new students, including supporting tutors with arrangements, booking hospitality, sending out welcome communications and joining instructions.

Module Administration.

  • Manage student module registrations and assist with timetabling queries and issues. Pro-actively coordinate ongoing preparation for modules/teaching activities. In liaison with module tutors (internal and external) ensure the accurate set up/publishing of material on Virtual Learning Environments (VLE). Oversee arrangements such as issuing joining instructions, booking of break-out spaces, hospitality for external visitors, coach bookings for visits.
  • Monitor and record module attendance, maintaining accurate records and following up on any outstanding incomplete attendances in accordance with departmental and University requirements. Record student monitoring attendance via University management information systems for University monitoring purposes in relation to a variety of student activities such attending modules, submission of coursework and engagement with personal tutor meetings.
  • Co-ordinate and manage the module assessment process within university management information systems, from creation of assignments in Tabula to the return of marks, ensuring accurate recording and tracking throughout and the publishing of feedback within strict deadlines. To maintain records of progress throughout including the moderation process and the calculation of late penalties, in accordance with set regulations. Advise on and issue assignment resubmissions in line with department and University regulations.
  • Administer academic integrity investigations to include the preparation of case files, issuing formal letters to students and attending panel interviews to take minutes. Ensure any follow up actions are undertaken by the marker and a final outcome returned. Liaise with Academic Quality team on complex cases.

Project Dissertation Administration.

  • Administer and provide guidance on all elements of the Project Dissertation process including progress assessment points, ethical approval confirmations, and final project submission and assessment to both students and staff.
  • Provide support and advice to project supervisors, some of whom may be external staff, including advising on procedures and processes as well as booking overnight accommodation, meeting rooms for supervision meetings, and processing payment claims.

Examinations.

  • Coordinate examination process, ensuring that the end-to-end process runs smoothly from timetabling through to Exam Board. Keep up to date with University developments relating to examinations and assessment processes and ensure these are understood and implemented within the Department
