Position Summary


The purpose of the Executive Assistant (EA) role is to provide comprehensive administrative, secretarial and organisational support to a number of Senior Leaders based in our London office.


Key Responsibilities

  • To provide administrative, secretarial and organisational support multiple senior leaders and their teams (usually an allocation of 2 or 3 senior leaders per EA).
  • Acts as a close confident with their senior leader stakeholders.
  • Consistent office attendance and visibility required to support senior leadership team.
  • Full diary and proactive time management for leaders to ensure effective use of their time.
  • Meeting preparation with key stakeholders to acquire all meeting materials in advance.
  • Attending leaders team/committee meetings and capturing actions/minutes to ensure they meet. internal governance requirements and proactive follow up of actions with key stakeholders to ensure timely delivery.
  • Manage sensitive, highly confidential and proprietary information with discretion.
  • Organise travel, including booking flights, trains, cars, hotels, arranging meetings and creating an agenda for each trip.
  • Processing expenses.
  • Liaising with external vendors to arrange team offsite meetings.
  • Working with the EA team to support board meetings and events.
  • Be one of the points of contact for our corporate travel provider.
  • Cover holiday for colleagues within immediate team.
  • Join committees in the organisation of interest e.g. Social & Charity committee.
  • Working with wider Operations function to manage front of house and reception.
  • May perform additional duties as assigned.

Skills, Knowledge & Experience

  • Experience in working for executives in a demanding environment, within a professional services.
  • Computer literate; extensive prior experience at an advanced level using Microsoft Word, Outlook, Internet and intermediate level Excel and PowerPoint.
  • A high level of confidence and integrity to be collaborative and teamoriented, must be able to multitask, have a 'can do' attitude and maintain composure under pressure.
