Gilson Gray's New Business team play an integral role in the development of business and the introduction of transactions to the conveyancing team, ensuring a strong relationship with existing referrers and clients alike.


Based in Edinburgh, we focus on ensuring we provide the highest level of advice and on-going service to our clients.

We are looking to hire a highly driven Client On-boarding Assistant to join our successful New Business and Home Buying team.


The Role
As a Client On-boarding Assistant at Gilson Gray LLP you'll be responsible for:

  • Engaging with Clients to gather AML (Anti-Money Laundering) documents whilst handling the allocation of New Business transactions.
  • Ensuring all transaction are allocated to the Conveyancing team within a timely fashion.
  • Updating introducers to the progress of allocation and the handling Conveyancer of the transaction.
  • Using the inhouse system to keep an accurate account of client file ensuring that all documentation has been provided and organising the administration of the file.
  • Reporting regularly to the New Business Management team and updating on case figure and allocation numbers.
  • Engaging with members of the Conveyancing team in the allocation of client matters to ensure a balance across the team with regards to caseload.

Required Knowledge and Experience

  • Previous experience in a property or administration role is preferred.
  • Knowledge of the Know your Client & Anti-Money Laundering process.
  • Have excellent social and interpersonal skills dealing with clients
  • Will possess experience in making quick, informed decisions throughout the process whilst keeping clients up to date throughout.
  • Take pride in producing high quality, accurate and timely information whilst maintaining personable and informative communication.
  • Show excellent verbal and written communication skills.
  • Ability to work as part of a large team and contribute to the overall business aims
  • Strong willingness to progress within the firm.
