The Role

As a Trainee Legal PA at Ashtons Legal you will be responsible for a wide and varied range of tasks to support our business.

Working closely with the Group Support Co-ordinator within your business group, together with hands on training with our experienced Legal PA teams, you will have the opportunity to develop your knowledge and skills and progress into the role of Legal PA.

To give you an idea of what you will be involved in, you can expect to:

  • Be the first point of contact for clients and new enquiries
  • Arrange for new matter inception, including conflict searches, in conjunction with the Central File Opening team
  • Oversee and coordinate new referrals and arrange opening of new client matters
  • Arrange appointments for your fee earners
  • Update client records on databases as required and to maintain records of client enquiries
  • Initiate and drive the billing process with your fee earners and in conjunction with the Group Lead PA
  • Contribute to your fee earners' financial performance by proactively working with fee earners to manage their matter balances and writeoffs
  • Proactively support the fee earners' business development activities
  • Work closely with the Central Secretarial Services team to ensure any typing requests are completed in a timely manner
  • Coordinate the return of typed documents and action next steps including amendments where necessary
  • Work closely with all Central Services teams to ensure that work is carried out in an efficient and timely manner, reporting any issues to your Group Lead PA
  • Carry out property searches where appropriate
  • Prepare expenses claims on behalf of fee earners
  • Proactively identify matters for closure and preparing final billing and/or return of client monies
  • Comprehensive diary management for your fee earners
  • Ensure meeting rooms are booked, including any equipment and refreshments
  • Preparation of Powerpoint presentations for your fee earners
  • Ensure you work proactively with your fee earners to forward plan meetings, travel etc
  • Ensure all files are up to date, either by efiling or hard copy filing
  • Ensure wider meeting requirements are identified and actioned (such as equipment, refreshments etc)
  • Be aware of the firm's risk and compliance policies and procedures and raises any issues or queries promptly with your Divisional Lead PA and the relevant lawyer or Risk and Compliance
  • Support the wider team when necessary such as holiday and sickness cover
  • Ensure you maintain continuous knowledge improvement and embrace learning and development opportunities

Knowledge, skills and experience required

  • High degree of competence in the use of Microsoft Office
  • Excellent verbal and written communication, with appropriate and effective use of grammar and punctuation, attention to detail, good organisational skills
  • Be respectful, working with integrity and professionalism at all times
  • Willingness to work flexibly to meet client needs
This is an office based position.
