Executive Assistant / Office Manager- Full Time, Permanent
About Our Client:
Page Group are excited to be exclusively partnered with a reputable shipping organisation based in Cardiff to recruit an Executive Assistant on a full time, permanent basis.
They turnover roughly £600 million per year and are the market leader in it's industry for the UK.
Role Overview:
- Project Management of the office design and refurb
- Executive Assistant / PA support to the Site Director
- Comprehensive admin support to the senior leadership team
- Lead the Cardiff office facilities
- Manage and improve the front of house experience
- Manage and improve internal office experience for employees
Key Responsibilities:
- Manage calendars and inboxes as required.
- Organise and Minute SLT meetings for the Region
- Ensure papers/briefings are prepared well in advance. Ensure each day is well organised and productive e.g. allocated preparation time etc.
- Maintain External Engagements Tracker for RD and the Senior WSSP team
- Plan trips, booking travel, transport and accommodation and preparing clear itineraries.
- Venue search and logistics planning of SLT Away Days and ad hoc stakeholder events for the Region
- Compile and prepare reports, presentations and correspondence.
- Manage expenses, purchase orders and invoices; reconcile monthly credit card statements.
- Implement and maintain procedures/administrative systems.
QA House Front of house/reception team:
- Management of Front of house team at QA House, ensuring appropriate cover
- Overseeing management of thirdparty suppliers by the Facilities team to ensure security, cleaning and catering services are carried out.
- Overseeing the management of the QA House Facilities budget and ensuring costeffectiveness.
The Successful Applicant:
- Strong Diary/inbox management/time management skills
- Previous experience as an Office Manager or Executive Assistant
- Intermediate level Outlook, Word, Excel, Powerpoint and Teams
- Excellent written and verbal communication skills
- Strong travel and event management skills
- Action point and minute taking skills
- Ability to build collaborative relationships with a range of stakeholders
- Tact and discretion for dealing with highly confidential information
- Accuracy and attention to detail, but also the ability to see the implications for the bigger picture
- The ability to manage small teams and project
