Description

To support the Digital Planning Programme Project Manager to deliver the digital planning skills and capabilities programme which aims to develop a range of tools to support development, knowledge transfer and champion digital planning.

To assist the DigitalPlanning Programme Project Manager in commissioning and building relationships with contractors to deliver each of the projects involved, maintaining oversight and engaging with key stakeholders.

Description

  • Provide administrative support to the Digital Planning Programme Manager to project manage the delivery and build the infrastructure of the organisations digital planning skills and capabilities programme across multiple projects.
  • Provide administrative and analytical support in the preparation of presentations, reports, communications and regular project updates for a variety of audiences.
  • Build and maintain good relationships with key internal and external stakeholders, contractors and relevant bodies.
  • Act as the main point of contact for queries and updates across the different projects.
  • Work closely with the Digital Planning Programme Manager to create and maintain detailed project plans outlining the expected outputs and outcomes for each project and support the identification and commissioning of contractors to deliver them.
  • Provide administrative support to the Digital Planning Programme Manager to monitor project progress and arrange and minute regular internal, external and cross functional meetings to brief and keep teams up to date on status of projects.
  • Support in the compilation of reports, data and appropriate information to inform and present to organisations colleagues, the project advisory group, project and Senior Executive teams and Scottish Government on progress, risk and mitigations for the programmeand individual projects.
  • Provide regular updates to the Scottish Government regarding the project.
  • Compile, maintain and provide a central database containing information about the projects including documentation, progress, actions and status reports.
  • Consider the potential data protection implications before using or storing any personal data, referring to the Data Protection Policy or seeking advice as necessary.
  • Update communications channels on the work of the programme.
  • Support the Director of Scotland, Ireland and English Regions in communicating the broader ambitions of the Digital Planning Programme Manager.
  • Undertake such other duties, commensurate with the post, as may be directed by the Digital Planning Programme Manager.

Profile

  • Experience of undertaking administrative duties to a high standard including organising meetings, events and minute taking
  • Experience of external commissioning including tendering, contracting and contractor management
  • Excellent interpersonal and communication skills
  • Highly organised with good attention to detail and the ability to prioritise
  • Able to build and maintain positive working relationships at all levels of the organisation
  • Excellent organisation and planning skills

Job Offer

  • 6 month contract
  • 1 day in the office (hybrid)
- up to £25,000pa
