Primary Freight Planning Assistant

The Primary Freight Planning Assistant is responsible for supporting the Primary Freight team with key administrative and reporting tasks to enable delivery of On Time and In Full service metrics to our customers.


Key Accountabilities
The Primary Freight Planning Assistant is responsible for the following key outputs and accountabilities:

  • Customs Management
  • Responsible for ensuring all international logistics movements are appropriately customs cleared both out of the EU and into the UK.
  • Ensure that customs processes are correctly followed by all international freight providers
  • Manage the daytoday relationship with customs agents and ensure that they are provided with full and accurate consignment details to enable smooth clearance
  • Responsible for communicating the cleared status of containers at UK ports to the receiving 3PLs, including any loads on customs hold, and providing full details of customs entries to enable the raising of ARCs, providing missing load documentation where necessary.
  • Responsible for resolving customs issues as they arise and implementing processes to avoid repeat occurrence.
  • Ensure that empty kegs are weighed on dispatch from UK warehouse in line with customs procedures
  • Validate weekly customs costs and provide service POs to agents
  • Manage the 'Clearance Docs' inbox and file & archive customs documents upon receipt
  • Freight PO Management
  • Create a freight PO for each shipment upon confirmation of delivery
  • Support with uploading new rates in the ERP system and ensure that freight POs are created with the correct pricing
  • Validate carrier additional charge sheets and raise service POs accordingly
  • Review any carrier invoices which have not been processed successfully by Accounts Payable
  • Work with the wider Logistics team, Accounts Payable team, and International hauliers to improve the "first time match" rate for carrier invoices
  • Manage the 'Freight Costs' inbox and resolve queries in a timely manner
  • Process miscellaneous invoices in Asahi's Concur system
  • Ensure that costs for exceptional items are tracked, accrued for, and crosschecked against invoices when they are received
  • Assist in the preparation for monthend by ensuring that all exceptional items are identified and there are no "double counts" by Finance
  • Wine Planning
  • Work with the Supply Planning team to organise wine shipments from EU suppliers to UK warehouses
  • Communicate PO details to carriers via the Transwide platform and ensure that loads are collected on time
  • Track and monitor all shipments to ensure that stock arrives on time & in full and that any delivery delays are communicated to key stakeholders
  • Ensure that customs processes are adhered to for all shipments
  • Data Maintenance
  • Ensure that PO ETA and delivery information is accurately maintained in the ERP system to enable robust MRP planning
  • Ensure that carriers provide full and adequate information via the Transwide platform including container numbers, pins, ETAs and confirmed delivery dates, & chasing for missing info where necessary
  • Provide the wider supply chain team with ETA information when requested
  • Chase missing import entries for loads already at UK ports
  • Chase 3PLs for missing goods receipts for inbound deliveries
  • Reporting
  • Download the daily Transport Schedule from the Transwide platform and distribute accordingly to internal and external stakeholders
  • Liaise with carriers to improve Transwide fill rate and accuracy
  • Ensure that all carrier delays and incidents are logged and reported
  • Produce the weekly carrier transit time tracker
  • Run the daily SAP PO date validation file and update system data accordingly
  • Support with freight cost tracking

Miscellaneous

  • Provide cover and support for the wider Logistics team
  • Attend weekly performance review meetings with carriers & 3PLs
  • Support with the delivery of strategic projects

Experience Required

  • Experience working in a Supply Chain role
  • Good communication and interpersonal skills
  • Customer or supplier relationship management exposure
  • Experience in a fastpaced, high volume, detailed and process driven organisation
  • System experience in an ERP environment (specific SAP experience desirable)
  • Good Excel skills
  • Highly organised with excellent attention to detail
  • European Languages would be an advantage esp Italian, Dutch, and Polish. Fluent English is essential
