We are a well-established fuel and lubricants company that is growing from strength to strength, built on over 100 years of expertise in the fuel and lubricants industry.

As a result of new business and further expansion, we are looking to employ a full-time Stock Controller to join our successful Finance team.

Role Overview

The Stock Controller will help keep New Era Fuels running smoothly and be responsible for the receipt of bulk fluid deliveries in accordance with all Environmental and Health and Safety Standards.

The Stock Controller is responsible for ensuring the accurate recording of both liquids and pack goods at all times on New Era Tankers, the tank farms, and goods in the warehouse.

To work within the main Warehouse to monitor and control the stock.

Checking and balancing the stock of each vehicle and depot. Ensure that transactions are booked accurately and in a timely manner.

Understanding the financial impact of stock transactions and supporting the Financial Controller to manage reduction in adjustments, errors and allow automatic fulfilment of sales orders.


Receipting and stock transfers

  • Ensure adequate paperwork is received with incoming stock and it is receipted into our inhouse system (NetSuite) with the correct purchase price
  • Ensure all stock is booked in and out in the correct period and on the correct date
  • Support the Warehouse staff to ensure stock integrity and stock is booked in and out correctly
  • Work with Warehouse staff to ensure best practices and processes are being followed
  • Ensure purchase prices and business inventory valuation is accurate within the system
  • Maintain the fuel terminal log, ensuring accuracy and querying any discrepancies
  • Book in fuel using the BOL/POD
  • Accurately receipt stock into the correct location and bin
  • Create transfers for the relevant stock movements between truck, tank, and depot
  • Create and build works orders accurately and correctly within the NetSuite system
  • Create returns to enable the AR team to raise credit notes
  • Liaise with drivers and Transport team to book stock in and out of vehicles to the correct fuel pot which in turn allows the system to automatically fulfil sales orders ready for invoicing
  • Raise cash sales and cover depot kiosk duties

Month End

  • Liaise with Accounts Payable on any query invoices or inaccuracies in stock
  • Reconcile each vehicle and location to ensure the stock held within the system correctly reflects the balance in Metron view / tanks and the trucks on a weekly and monthly basis
  • Manage the pump at Junction 26 and ensure fuel levels are accurate
  • Manage a rolling stock take with the Stock Control team and Warehouse staff
  • Make any adjustments needed to each depot and each bin
  • Create stock provisions for any potential write offs/adjustments
  • Check there are no bin mismatches on the system & stock put in the correct location / bin
  • Reconcile 3rd party stock location & investigate and resolve any discrepancies
  • Report on inventory performance and create inventory valuations
  • Create inventory counts and make any required adjustments
  • Review negative stock

Person Specification

Essential

  • Experience in stock control; stock control of any fluid
  • Analytical mindset ability to check, find and resolve a problem.
  • Written and oral communication skills
  • Calm, confident manner to handle potentially uncomfortable conversations
  • PC literate, familiar with MS Office, particularly Excel
  • Must have full UK Driving license as travel to other depots may be required

Desirable

  • Previous experience working in an industrial or warehouse environment
  • Knowledge of financial general ledger impact and double entry
  • Drive, determination, and ownership of role
  • Product knowledge a benefit, but not essential as training will be provided
  • Strong organisational skills with good attention to detail
