Description
Objective:
- Deliver highquality executive support for the UK&E Property Managing Director, the Managing Director for the Scotland & Ireland Region and the Regional Leadership Team for Scotland & Ireland
- Liaises with PAs across Faithful+Gould and Engineering Services to share best practice
Requirements:
- Experience of working in a similar administrative support or Personal Assistant role.
- Experience of successfully working with senior leadership and ability to develop
- Ability to communicate at all levels with a positive, proactive approach.
- Proven excellent diary management and administrative skills.
- Experience of diary management for senior stakeholders within a fastpaced environment.
- Experience of leading on administration services and ensuring best practice and continuous improvements.
- Ability to be flexible and work with a team on tasks or projects/programmes.
- Confident and professional manner of communication.
- Experience of working under pressure and meeting deadlines.
- Ability to preempt actions required and act accordingly.
- Excellent knowledge of Microsoft Office suite of products (Outlook, Teams, Word, Excel and PowerPoint).
- Collaborative and supportive team player.
- Ability to work autonomously.
Responsibilities:
- Responsibilities
- Provide a highquality PA service to the UK&E Property Managing Director, the Managing Director for the Scotland & Ireland Region and the Regional Leadership Team for Scotland & Ireland
- Extensive diary management.
- Attendance at weekly and monthly meetings to capture, disseminate and manage the progression of actions.
- Conducting regular meetings with the Regional Leadership Team to review and discuss upcoming events and other requests.
- Booking travel and accommodation including flights/cars/visas etc.
- Arranging meetings, inviting attendees and preparing/circulating agendas, document packs as required.
- Manage process for compiling regular reports and presentations.
- Processing of expenses and invoices.
- Ensure best practice and continuous improvement across the business administration function.
- Coordinate the signing of Contracts ensuring correct paperwork in place close liaison with UK&E Commercial Director, Commercial and Operations.
- Organising and coordinating staff roadshows, conferences, social events.
- Work collaboratively with the PA's across Faithful+Gould

- Ability to pick up corporate systems quickly
_ Additional Information Preferred Location Scotland, Northern Ireland or Ireland with ability to travel between key office locations when required._
