Objective:


  • Deliver highquality executive support for the UK&E Property Managing Director, the Managing Director for the Scotland & Ireland Region and the Regional Leadership Team for Scotland & Ireland
  • Liaises with PAs across Faithful+Gould and Engineering Services to share best practice

Requirements:


  • Experience of working in a similar administrative support or Personal Assistant role.
  • Experience of successfully working with senior leadership and ability to develop
- and maintain good working relationships at all levels.

  • Ability to communicate at all levels with a positive, proactive approach.
  • Proven excellent diary management and administrative skills.
  • Experience of diary management for senior stakeholders within a fastpaced environment.
  • Experience of leading on administration services and ensuring best practice and continuous improvements.
  • Ability to be flexible and work with a team on tasks or projects/programmes.
  • Confident and professional manner of communication.
  • Experience of working under pressure and meeting deadlines.
  • Ability to preempt actions required and act accordingly.
  • Excellent knowledge of Microsoft Office suite of products (Outlook, Teams, Word, Excel and PowerPoint).
  • Collaborative and supportive team player.
  • Ability to work autonomously.

Responsibilities:


  • Responsibilities
  • Provide a highquality PA service to the UK&E Property Managing Director, the Managing Director for the Scotland & Ireland Region and the Regional Leadership Team for Scotland & Ireland
  • Extensive diary management.
  • Attendance at weekly and monthly meetings to capture, disseminate and manage the progression of actions.
  • Conducting regular meetings with the Regional Leadership Team to review and discuss upcoming events and other requests.
  • Booking travel and accommodation including flights/cars/visas etc.
  • Arranging meetings, inviting attendees and preparing/circulating agendas, document packs as required.
  • Manage process for compiling regular reports and presentations.
  • Processing of expenses and invoices.
  • Ensure best practice and continuous improvement across the business administration function.
  • Coordinate the signing of Contracts ensuring correct paperwork in place close liaison with UK&E Commercial Director, Commercial and Operations.
  • Organising and coordinating staff roadshows, conferences, social events.
  • Work collaboratively with the PA's across Faithful+Gould

  • Discretion due to exposure to confidential and legally privileged information
  • Ability to pick up corporate systems quickly

_ Additional Information Preferred Location Scotland, Northern Ireland or Ireland with ability to travel between key office locations when required._
