Job Summary

As a member of Group Corporate Secretariat's ("GCS") central team, to provide high quality advice and support across a broad range of company secretarial and departmental tasks and activities in particular in relation to the smooth running and effectivenessof Board Committee meetings / papers.


Responsibilities

As a member of Group Corporate Secretariat ('GCS') central team, provide high quality PA and administrative support to the Board of Standard Chartered PLC (with particular focus on the independent non-executive directors ('INEDs') and the external advisorsto the Board Financial Crime Risk Committee ('BFCRC Advisors') and act as the first point of contact with senior management on matters related to the Group's business.


Responsibilities:


  • Act as the first point of contact between relevant INEDs and their external PAs on all matters relating to their attendance at internal and external meetings relating to the Group's business.
  • Manage INEDs travel arrangements, whereabouts, meetings dates, logistics.
  • Manage other aspects of INED administration including IT, mobile phones, post and other communications.
  • Coordinate INED biographies and ensure that updates are regularly communicated for internal / external distribution.
  • Manage all aspects of onboarding for any new INEDs and managing the exit process for any INEDs retiring from the Board
  • Manage training program including facilitating and monitoring inperson and online training, induction plans and travel itineraries for relevant INEDs.
  • Ensure that records of induction training and ongoing engagement, attendance at internal and external meetings and materials for such meetings (including file notes) are maintained and shared.
  • Manage the Board meeting calendar and related actions in conjunction with the Board Support team.
  • When required, undertake document searches and collation of relevant documents in response to regulatory or audit requests that relate to the Board or Board Committees.
  • Maintain records relating to INEDs expenses and invoices.
  • Liaise with the Group's internal and external tax advisors to collate and prepare relevant information regarding INED benefits for inclusion in the Group Annual Report and Account
  • Coordinate the maintenance of the INED aspect of the Board and Committees contact list.
  • Provide effective stakeholder management with Senior Managers, Board Directors, their PA's and EA's
  • Work closely with the Board Support team on logistics relating to the Board and Committees as required (e.g. final paper distribution, signature/approval of documents).
  • Attend overseas Board meetings (as required) to provide support to the Board and ensure the smooth running of meetings and events, including meeting logistics and other administrative tasks.
  • Act as a backup for members of the Board Support team to ensure uninterrupted support to the Board/Board Committee meetings.

Qualifications:


  • Excellent attention to detail.
  • Proven excellent organisational and forward planning skills are essential in this role.
  • Flexibility will be required to work outside normal business hours when required, particularly around scheduled Board / Committee meetings.
  • Good interpersonal, written and verbal communication skills with the ability to communicate at all levels and between different cultures.
  • Ability to build effective relationships at all levels, demonstrating confidence in dealing with senior executives and Board members. Possess a positive, flexible and collegiate approach with the ability to contribute to teamwork enhancement.
  • Ability to prioritise workload and manage deadlines. Adaptable to last minute and developing events whilst still maintaining composure.
  • Reliable, selfmotivated, intuitive and proactive.
  • Possess the ability to identify and drive opportunities for continuous improvement.
  • Possess a common sense approach.
  • Strong IT skills, particularly MS Word and MS Powerpoint.
  • Adept to working in a confidential environment, with increased compliance / control standards.
