Job Description Summary:


Principal Accountabilities
Sitting within the Contract Management & Compliance Team this role will support and deliver;


Contract and Compliance Excellence:

  • Contract and Compliance Partner to the supported business units
  • Responsible for all Contracting and Compliance matters related to the above
  • Prepare new contracts ensuring we are using latest version eg approved templates
  • Ensure that we have correct legal signatory to the contracts
  • Ensure that we capture the new contract in a central repository for all contracts working closely with Contract and Compliance Team Leader.
  • Train, educate commercial teams on Standard Operating Procedures (SOPs) aiming to achieve full compliance
  • Manage New and Amend Volume based Contracts with sales team, following a compliant contract management process and involving the Law Group where contract templates need to be adapted.
  • Manage termination of contracts following a compliant process working with the Law Group
  • Drive continuous improvement across all processes

Reporting:

  • Prepare contract compliance dashboards / reporting where appropriate
  • Prepare customer statements where required providing update on actual purchases vs commitment included in the contract
  • Ensure communicate compliance dashboards and customer statements to commercial teams in line with agreed SLA's and follow up with commercial teams

Contracting & Compliance Partner to Commercial Team:

  • Attend various meetings with commercial teams to review financials, dashboards, statements and help the team understand the status.
  • Also use as an opportunity to discuss pipeline, contracting issues, areas of support required and areas of improvement
  • Support Commercial teams with contract review meetings with customers where they expect a contract specialist to be present with the commercial team
Partnering with BU Business Partners / Bus Operations Leader:

  • Work closely with Business Partners of the supported BU's
  • Support Business Partners with the Revenue Recognition requirements related to new contracts (eg related to ASC84 accounting for revenue recognition)
  • Prepare and Issue Disclosure Data for Unsatisfied Performance Obligations for reporting up to Global Finance; support the Contract and Compliance Team Leader and Business Operations Leader to meet the deadlines / SLA's.

Pricing:

  • Work with Pricing Team, Business Partners and the BU Pricing Champions to ensure timely management of price increases, indexation to ensure that we optimise impact of price increases and profitability in our contracts
  • Manage price set up on ERP with Customer Pricing as per signed contracts
  • Manage price invoice queries on the volume based contracts supporting Accounts Receivable and field sales team recover cash on unpaid invoices.

Support to Others:

  • Provide support to rest of Contract & Compliance Team as and when required
  • Support wider Tenders and Pricing team with tenders or pricing workload as required
  • Provide support to wider business operations team and other functions as required
  • Support other ad hoc tasks, projects as and when required

Education

  • At least 4 GCSEs (or equivalent) including Maths and English
  • Contract management knowledge
  • Understanding of Contract Lifecycle Management
- (public procurement) Framework contract structure knowledge would be advantageous

  • Legal knowledge/ training would be beneficial
  • Comfortable with the business and finance principles affecting contract creation, delivery, and management.
