Role Overview

What You'll Do

To take responsibility for:

  • Excellent presentation of mail inc recording of statistics.
  • Greeting and dealing with BSO Staff/Suppliers to the client's site for EG: Royal Mail/Postalsort etc.
  • Deal with all incoming and outgoing mail on numerous sites.
  • Deal with room bookings/car park bookings.
  • Act in a professional manner at all times.
  • Assist other FM Support Services staff when required.
  • Ensure compliance with site based FM systems and internal controls.
  • Deal with requests for light Porterage duties.
  • Post will include adhoc duties as and when required.

Functions of the Role

  • Ensure that all mail is dealt with in a professional manner.
  • All mail is recorded for Client purposes.
  • Dealing with client on a face to face basis.
  • Ensure that all incoming calls are answered in a professional manner and are dealt with efficiently.
  • Act in a professional and courteous manner at all times.
  • Take instruction from the site based FM Manager and/or Supervisor with respect to any additionally requested duties.

Job Measurement Data:


  • Undertake the job competently and professionally.
  • Use working time efficiently and effectively.
  • Be proactive in the delivery of the service.
  • Provide information promptly to assist FM and Client management staff
  • Identify any potential problems or issues and advise on them accordingly.
  • Ensure the relevant documentation, management information and databases under control of this service are kept up to date.
  • Undertake the task in a customer focused manner, eliminating customer complaints
  • Undertake training initiatives as required by the Company.

What you'll bring
As a Support Services Assistant your main skills and experience will include:

Essential Criteria

  • Previous experience of working in a busy Reception and Telephony environment
  • High level of customer care skills
  • Computer Literacy
  • Good working knowledge of Telephone Switchboard/Reception

Desirable Criteria:


  • Previous experience of working in a high profile customerfacing environment
