About the role


The purpose of the role is to work in collaboration with the Core Portfolio Manager to ensure that coordination and administration for key events and processes is maintained at an excellent standard resulting in time optimisation for all people involved.


The key elements of the role are:

  • Preparation of relevant materials for events as specified and performing administration as required for those events
  • Administration and organisation of specified processes under guidance of Core Portfolio Manager
  • Deputisation for Core Portfolio Manager when absent from business for issue management for stakeholders and teams in conjunction with, and supported by, the Core Engineering management team.


Core Portfolio management interacts extensively with the business as the face of the Core Delivery function, this role is important in ensuring that we are set up to engage and collaborate with the business effectively.

We work in a Lean Agile Environment and, as such, change is often fast paced. This is a role that requires an individual who is resilient, flexible and can adapt to changing demands.


Key Responsibilities:

Working together with the Core Portfolio Manager to support the Core Engineering Team's critical events to ensure that they run smoothly, the time is well spent, the outcome of each event is achieved within the context of excellent preparation & administration


Specifically:
Core Surgery
- co-ordinate attendees (Quora & business representatives)
- meeting agenda & meeting minutes / actions write up & follow up

Demand Forum
- co-ordinate attendees
- meeting agenda & minutes / actions write up
- creation & management of JIRA tickets with and for people

  • Lining up tickets for review for both SAP and Integration
  • Writing up notes for each ticket
  • Contacting small change reps for prioritisation
  • Creating JIRA tickets for both SAP and Integration
  • Core Engineering & Technical Review Board (TRB) produce monthly stats and tracking
  • Ad hoc workshops coordinate attendees, agenda, action notes and follow up communications

Essential Skills for the role:

  • Strong organisational skills
  • Good interpersonal skills clear communicator who is able to influence others
  • Excellent administration skills such as meeting management, action taking etc.
It would be desirable if the role holder has:

  • Experience of working in a Technology / IT environment
  • Experience of managing data extracts and reporting
