Description
We are looking to recruit a Receptionist in Basildon.

As a Receptionist, you will be responsible to provide an exceptional 'Front of House' service to all staff, visitors, clients and contractors:

  • To provide point of contact and support for the General Enquires Team, ensuring continued service provision.
  • To ensure compliance with QMS, including SOP, training and competency and appraisal of staff.
  • To provide general administrative duties as part of the Business support team including minute taking, data reporting and supply chain support to the Senior managers
  • To provide Fire Marshall, security monitoring and first aid duties for Reception and associated areas at the Hub site

Primary duties of the job
To greet all staff and visitors in a professional and courteous manner at all times. Ensure the correct registration and identification of visitors.

  • To receive deliveries into the building effectively and in a timely manner
  • To manage booking requests for taxi services, room bookings and guest services.
  • To perform appraisals as required.
  • To be provide administration support to maintain accurate information for the User Handbook and Pathology First website.
  • To ensure information in Handbook regarding General Enquires Helpline and associated functions, ensuring that the information is accurate and updated at all times.
  • Develop good working relationships with Users of the service and visitors to PF
  • To follow established policies and standard operating procedures.
  • To prepare audit information, analyse and prepare powerpoints as required
  • To develop and maintain standard operating procedures for areas of responsibility, ensuring that all staff are trained and competency assessed according to SOP.
  • To use trust governance software to extract data and assist in the monitoring of action completion
  • To monitor the PF facilities e mail account and maintain a facilities jobs tracker.
  • To raise purchase orders for PF facilities.

Essential Skills and Experience

Range of GCSE or equivalent:
which must include English and Maths.

  • Good degree of accuracy & numeracy
  • Have excellent communication skills with the ability to communicate effectively at all levels of staff within the business
  • Ability to maintain an exceptional level of confidentiality, integrity and honesty
  • Understanding of document and change control
  • Ability to consistently follow set protocols and procedures and work with attention to detail
  • Ability to communicate with a wide range of levels of staff within the laboratory and user organisations
  • Interpersonal and team working skills
  • Ability to manage time to best advantage and prioritise work for self and others
  • Ability to adapt efficiently to change and work under pressure, maintaining a calmness and professionalism when under pressure
  • Able to plan activities within area of work
  • Respect others and treat with courtesy at all times

Desirable
Experience in a laboratory setting.

  • Qualified First Aider, Fire Marshall.
  • Ability to work flexibly at short notice
  • Ability to demonstrate proactive approach to problem solving within boundaries of role
  • Working knowledge of WinPath LIMS, Q-Pulse and Axional, Quality management systems.
  • Knowledge of UKAS ISO 15189 requirements
