We have an exciting opportunity for a highly motivated, enthusiastic Medical Secretary.

This is an extremely varied post and will involve contact with patients, managers and staff of all levels. We are looking for an enthusiastic member of staff to complement our team in the Health Records Department.


We are looking for someone who has excellent communication skills and be able to liaise with other disciplines and have the ability to prioritise and organise own workload.


An understanding of confidentiality is essential as is the ability to be flexible as you will be required to cover for annual leave and sickness when necessary.

The Health Records Team is comprised of a variety of different roles that are based across 5 sites within Derbyshire.

We encourage staff development and have a shadowing programme available for all staff. We support flexible working practices where possible. We are a very friendly, adaptable team.


To provide a comprehensive secretarial service in support of all Consultants and their teams of varying Specialties in order to facilitate the efficient utilisation of resources, and to ensure that specific contractual requirements are achieved in accordance with NHS National Standards.

Applicants should be friendly, reliable, flexible and multi-talented and enjoy working as part of a dedicated team. They should possess excellent verbal and written communication skills and have previous secretarial experience. It is essential that you are educated to GCSE standard and hold RSAIII/Word Processing Qualification or equivalent.

You must demonstrate excellent organisational and coordination skills, be capable of working under pressure and meeting deadlines.

The Purpose and Activities of DCHS?


Our purpose is to provide community health services to a patient population of over one million people in Derbyshire and Derby, as part of Joined Up Care Derbyshire.


We employ around 4,200 substantive staff, caring for patients in 11 community hospitals and more than 30 health centres, as well as in clinics, GP practices, schools, care homes and, increasingly, in people's own homes and via virtual consultations.


During the pandemic response we have led the implementation of public vaccination centres in collaboration with partners across health and social care.

To provide a comprehensive secretarial service to all Consultants and their teams in order to facilitate the continuity of patient management in accordance with contractual obligations.

Responsible for the compilation, typing and despatch of clinical correspondence within agreed quality standards and time limits and the undertaking of any additional secretarial duties relating to consultants.


To provide a primary point of contact for patients, GPs, clinical staff and outside agencies to the Consultants and their teams, ensuring that client concerns are answered with skill, sensitivity and expediency even when under pressure.


Responsible for bringing results of all investigations to the attention of the Consultants, when necessary use the pathology system to monitor and follow up results of investigations; to interpret the urgency of such results as and where necessary and ensure they are actioned accordingly in accordance with Consultant instruction.

File the results correctly in the appropriate patients' notes following authorisation by the Consultant ensuring all relevant information is to hand for continuity of patient care.


Maintain health records tracking system using PAS, liaising with hospital personnel to ensure availability of hospital records for out-patient and in-patient attendance.

Use PAS system to arrange patient appointments, utilising Consultant clinic appointments effectively. Ensure patients are placed on appropriate waiting lists and arrange investigations as required.

Validate all outcomes against clinic letters and PAS in order to ensure that the correct procedure and action has been taken for the patient to continue to receive a high quality standard of care.


Maintain confidentiality at all times in respect of the General Data Protection Regulation and Caldicott in order to preserve the privacy and dignity of individual patients whatever the situation.
