Please note this is to cover maternity leave with potentially a future with the company at other parts of the site.

Responsibilities

Client Support

  • Arranging meeting room bookings and occupier requirements
  • Providing teas and coffees for meetings
  • Organising catering for meetings where required
  • Regularly checking break out areas and tidying as required
  • Reporting issues to on site cleaners and Building Manager
  • Organising tenant events
  • Invoicing and credit control for meeting rooms
  • Managing the AV systems in meeting rooms.
  • Providing concierge service to occupiers including ordering taxis, taking in parcels, post and dry cleaning for collection.
  • Deal with all ad hoc general enquiries and build and maintain the relationship between occupiers, contractors and building management.
  • Updating occupier contact details.
  • Dealing with contractors and suppliers
  • Managing door access systems including ordering access fobs
  • Organise and monitor flower, milk, coffee and newspaper deliveries.
  • Monitoring and purchasing when necessary any kitchen supplies.

Professional Standards

  • Maintain a smart and professional dress and appearance.
  • Ensure that all visitors' sign in and out of the property and that visitor's passes are administered correctly.
  • Undertake ad hoc additional administrative duties such as filing, scanning, photocopying.
  • Dealing with contractors and arranging passes/radios etc.
  • Raising purchase orders.
  • Updating various documents including excel and word documents.
  • Administration of visitor book
  • Fire marshal duties.
  • Assisting with fire alarm testing.
  • Ensuring the building and front of house is safety complaint.
  • Being an ambassador for Quorum Park, Shield FM and the property
  • Report to FM when Building Manager is away from the building.

Team

  • Updating Reception files when needed.
  • Minutes of meetings.
  • Filing
  • Assisting Building Manager and Hub Team with various administration duties.
  • Liaising with Building Manager and Security on building issues.
  • Directing couriers.
  • Reporting faults and maintenance issues.
  • Liaising with occupiers.
  • Placing orders and checking deliveries.
  • Assist with administration of onsite parking scheme.
  • Stationary ordering.
  • Assist with park wide communications and social media.

Professional experience and personal skills profile

  • Previous experience within a reception role or similar customer relations role
  • Proficient with Word/Excel
  • Excellent communication skills
  • Ability to work underpressure
  • Wellorganised
  • Able to contribute positively as part of a team, helping with various tasks as required.

PLEASE NOTE THAT THIS IS MATERNITY COVER JOB

Job Types:
Full-time, Permanent, Temporary contract, Fixed term contract

Contract length: 8-10 months


Salary:
£20,000.00-£21,000.00 per year


Schedule:

  • 8 hour shift
  • Monday to Friday

In person
