We are seeking a Conference Delegate Coordinator who is passionate about global affairs to join our fast-paced and friendly team conferences team.

This is a varied and collaborative role where you will take direct responsibility for delegate management and sales acquisition for our conferences and events ranging from climate change, global trade, defence and technology.


About the role*:


Within the External Relations Department at Chatham House, we run events and conferences that attract the most influential leaders from across governments, businesses, academia and civil society.

As a valued team member, you will develop core skills in sales, marketing and relationship management, while gaining unique insight from world leaders, policymakers, business leaders and opinion makers who regularly speak at our events.


Strategy*:


  • Proactively develop an understanding of our content areas and use your market knowledge to engage with our target audience and convert into paying customers
  • Work with the marketing manager to ensure our messaging is benefitled and appeals to the needs of our commercial audience
  • Take an innovative approach to writing sales copy and be proactive about adjusting your approach in response to market trends and audience insights
  • Keep a record of sales trends and suggest sales and marketing process improvements to generate new inbound leads and ensure a healthy pipeline of sales prospects
  • Contribute to the attendee profile of each conference and develop an understanding of the attendee profile to inform sales and marketing outreach
  • Bring together communities of policymakers, business leaders and civil society representative to ensure engaging discussions that make change happen
  • Identify new areas for outreach and potential new audiences to attract paying delegates

People*:


  • Manage and build relationships with prospective delegates to generate new business and repeat bookings yearonyear
  • Take responsibility for account management of event delegates including event communications and joining instructions
  • Ensure the right participant mix on site and assist with building lists and data research
  • Proactively seek feedback from attendees and attend events on site

Delivery*:


  • Secure paying delegates across our conferences portfolio in line with revenue targets and objectives
  • Provide analysis of registered and prospective delegates at regular project team meetings
  • Be the main point of contact for delegates and respond to conference enquiries in an appropriate and timely manner
  • Manage leads generated from our multichannel marketing campaigns and convert into paid bookings
  • Play an active role within the department to assist team members with other tasks as required
  • Manage delegate income, provide sales forecasts and reports, and liaise with our finance team to raise invoices
  • Keep the CRM up to date and maintain active sales records and a pipeline of leads
  • Create persuasive copy and materials for marketing channels and social media to raise the profile of Chatham House's convening and target specific audiences.
  • Develop new business development prospecting pipelines and aid with the development of customer journey mapping.

Desirable Experience*:


  • Previous experience in a professional office environment with knowledge of CRM management (e.g. Microsoft Dynamics)
  • Experience of working in a thinktank, research institute or, NGO
  • Sales or marketing experience, ideally but not limited to conferences and/or events

Skills*:


  • Ability to engage and build rapport quickly with partners
  • Confident communication skills when engaging potential and existing prospects
  • A willingness to contribute to collective objectives and work across teams and with individuals at all levels, with sensitivity and diplomacy
  • Knowledge of social media and marketing platforms with a creative and compelling approach to copywriting
  • Excellent interpersonal and communication skills (written and verbal)
  • Ability to prioritize and take initiative
  • A high level of accuracy and attention to detail
  • Discretion in handling confidential information
