Are you an experienced and highly organised individual with a knack for taking accurate and concise meeting minutes? We are currently seeking a skilled Secretary to join our team and play a crucial role in supporting our organisation's administrative functions.

As our secretary, your proficiency in minute-taking will be a valuable asset in ensuring effective communication and record-keeping within our organisation.


Primary role purpose
You will be responsible for providing full support to the Director (Innovation and Organisational Development.


Main Duties:


  • Record and transcribe detailed and accurate meeting minutes during various company meetings, including board meetings, team meetings, and client meetings.
  • Collaborate with department heads to create meeting agendas, ensuring all relevant topics are covered.
  • Prepare and distribute meeting invitations, materials, and followup actions to attendees.
  • Organise and maintain files of past meeting minutes and related documents for easy reference and retrieval.
  • Assist in managing executive calendars and scheduling meetings as needed.
  • Prepare and edit documents, reports, and presentations for internal and external distribution.
  • Manage office supplies and maintain a wellorganized and efficient office environment.
  • Support various administrative tasks as required by the team.
  • Proven experience as a Secretary or in a similar administrative role with a demonstrated history of taking meeting minutes.
  • Exceptional listening skills and the ability to capture essential points and discussions accurately.
  • Proficiency in transcribing meeting minutes with excellent grammar, punctuation, and formatting.
  • Strong organisational skills with great attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and trustworthiness when handling sensitive information.
  • A positive and proactive attitude with the ability to work both independently and as part of a team.

Job Type:
Permanent


Salary:
£23,000.00-£28,000.00 per year
