Administrative Assistant (Postgraduate) (Part Time)

School of Law and Politics


The School of Law and Politics is seeking to fill a post in the Postgraduate Student Services team, providing support and guidance on administration of postgraduate programmes, engaging and completing a range of routine tasks to meet operational and customer service requirements.


  • This is a parttime post (17.5 hours per week), openended and available immediately.
  • Salary £22,197 £24,144 per annum, prorata for hours worked (Grade 3)

MAIN FUNCTIONS


Provide an administrative service to the School/Directorate, engaging in and completing a range of routine tasks to meet operational and customer service requirements.

Provide support and guidance on administration of postgraduate academic and research programmes in law and politics and international relations, ensure the Postgraduate Student Services Team is supported, and key duties undertaken.


DUTIES AND RESPONSIBILITIES

Key Duties

  • Deal with a range of enquires from internal (staff & students) and external (members of the public) customers in a professional manner, establishing their needs and adapting the standard responses accordingly to support administration of postgraduate academic and research programmes in the school.
  • Work with others to make recommendations for the development and improvement of current University processes and procedures.
  • Create good working relationships with key contacts to help improve service levels.
  • Undertake a variety of administrative duties to support the Postgraduate Student Services team and department.
  • Gather and review data to update administrative systems such as databases and spreadsheets, making sure the information is accurate, and highlighting to your line manager basic trends and patterns.
  • Actively contribute to the success of the team and support the supervision and management of it.

Specific Duties

  • Provide administrative support to enrolment arrangements for postgraduate research and postgraduate taught students; liaison with academic colleagues about the induction timetable; communicating with new students; attending enrolment and welcome events for new students.
  • Provide administrative support to the postgraduate research student progress monitoring process; working with colleagues to manage monitoring events; liaison with students and supervisors to ensure monitoring events are completed and documented on SIMS; dealing with routine correspondence with students and staff.
  • Provide administrative support for the Postgraduate Symposium, making arrangements including room bookings and catering.
  • Provide administrative support to the Canon Law programme involving liaison with the programme convenors; making arrangements for residential weekends including liaison with offsite venues; dealing with routine student correspondence and notifying students and staff of arrangements for residential weekends.
  • Assist in the preparation of teaching materials for the Canon Law programme; updating information on Learning Central and uploading teaching materials.
  • Provide assistance at university recruitment events for postgraduate applicants including Cardiff Law Fair and Postgraduate Open Days.
  • Deal with student enquiries to the Postgraduate enquiries desk in the Student Services Office.
  • As part of the Student Services Team, provide administrative support for other student related activities in the academic cycle.
