An exciting opportunity has arisen for a Clerical Officer to join our growing Administration Team within the Urology Department.

As a Clerical Officer, you will perform varied duties which include the following responsibilities.

  • Referral management use of PCS & the NHS eReferral system.
  • Retrieval and preparation of health records for Outpatient clinics.
  • Scheduling of Outpatient appointments.
  • Managing Referral to Treatment (RTT) patient pathways in line with Trust targets.
  • Reception cover during periods of leave


This role can therefore be physically demanding at times, with extensive time spent outside of the department locating large volumes of health records Trust wide.


Previous experience within a similar role within the Trust and knowledge of Outpatient processes would be particularly advantageous, although full in-depth training will be provided as part of our local induction programme.


The post holder will be expected to work their hours primarily during core hours 09:00 - 17:00 over four days of the week, whilst working 12:00 - 20:00 each Tuesday.

The role allows for a level of flexibility in line with the needs of the service.

Provide a comprehensive administrative service on behalf of the Trust, undertaking all relevant work-related tasks including:

Referral & appointment management:

creating referrals, waiting list entries, booking appointments and maintaining patient demographics and data quality on the patient administration system.

Health Records management:

retrieval and preparation of health records. Filing patient information/data.


  • Maintain systems and processes, adhering to standard operating procedures, facilitating accurate, timely access to patient information/data within the health records either via hard copy or electronic format complying with quality standards and information governance procedures.
  • Provide an efficient reception service, greeting patients, public and all visitors as they arrive, dealing with enquiries promptly, taking action as necessary and directing patients/relatives/carers accordingly.
  • Pro-actively manage the data quality within the patient administration system, thus ensuring that patient demographic information is accurate, outpatient attendances are confirmed, and outcomes are recorded via the Referral to Treatment (RTT) pathways. Supporting the Trust to achieve local and national targets and generate income.
  • Maintain health records following clinical review, updating patient information/data in accordance to agreed quality standard, locating and retrieving supplementary documentation as required. Filing diagnostic reports and essential documents in the chronological order within the health record.
  • Maintain the case note tracking system, ensuring that individual health records can be located in a timely manner. Promptly raising issues with functionality, reporting difficulties and hold-ups and support the identification of potential solutions.
  • Access all appropriate systems to obtain correspondence, clinic management and retrieve results, as and when required.
  • Maintain constructive relationships with others, within and across Trust and with external stakeholders e.g. General Practitioner surgeries, in order to improve the effectiveness and efficiency of services to patients.
  • Provide an efficient contact centre service, greeting patients, relatives and carers in a professional manner, dealing with their enquiries promptly, taking action as necessary.
