Location:
Based at Manor Park Surgery (travel between sites when required)

Head of Business Services


Status:
Permanent


Hours:
hour working week, including an unpaid 30m daily lunch break.

Contractual requirement to carry out un-paid overtime working which may include weekends, evenings and public holidays.


PURPOSE OF THE JOB


This position will report to the Head of Business Services and will support the co-ordination and delivery of key Business Services activities within deadlines set by Business Services Team, The Partners, CCG and NHS England.


The Business Services Team incorporates key areas including Human Resources, Information Systems, Data Quality, Facilities, Finance, Procurement, Risk Assurance and Compliance.

The Business Services Co-ordinator will be a varied, interesting and will touch on all aspects within the Business Services Team.


This is an exciting role where the successful applicant will be able to work with the Head of Business Services and Business Services Managers to shape and deliver future business strategy.

MAIN DUTIES AND RESPONSIBILITIES

  • Support the Head of Business Services to deliver key Business Services activities and projects to ensure that our colleagues have the support and tools to do their roles to deliver a quality service to our patients.
  • Support the HR function, working with the Head of Business Services and our HR company with ongoing HR administration and key projects e.g. Annual Leave admin, Absence Management admin, Workforce reporting, HR process controls and updates, preparing training packs, etc
  • Support the Information Systems and Data Quality Manager with ongoing systems and quality administration and key projects, e.g. support for any systems changes, admin for systems training support, systems reporting, etc
  • Provide regular reports and audits from Practice Systems to effectively manage Business Services process e.g. Annual Leave, Absence, Training, Appraisals, new starters and leavers, IT issues log, IT inventory, Risk Assurance, CQC reporting, etc
  • Coordination of action plans and dashboards for Business Services Team as defined by Head of Business Services and working closely with our HR company, Information Systems and Data Quality Manager and Data and Finance Manager to gather data and hit deadlines.
  • Support the Head of Business Services with any requirement for Risk Assurance and Facilities Management, working closely with local site coordinators.
  • Maintain accurate and central records for Head of Business Services by working with local Managers, Business Leads, Site coordinators and Team Leaders e.g. Facilities information, Risk Assurance Framework, Business Continuity, IT systems data, HR information, Business performance information, etc

Qualifications and experience

  • Excellent planning and organising skills with the ability to reprioritise and manage workloads to hit business deadlines (essential)
  • Good communication skills, written and verbal (essential)
  • Excellent attention to detail and accuracy with the ability to collate, interpret and simplify data/information for Managers to review (essential)
  • Be able to influence and build relationships at all levels with internal and external stakeholders and suppliers (essential)
  • Ability to maintain confidentiality and professionalism (essential)
  • Able to work on your own and within a team environment (essential)
  • Able to demonstrate flexibility and adaptability in a changing and challenging business environment (essential)
  • Must be able to confidently use Microsoft packages including Outlook, Excel, Word and be able to learn new systems quickly (essential)
  • Have a proactive, can do attitude where there may not be any immediate answer or solution (essential)
  • Have experience of MS PowerPoint/SystmOne/other databases (desirable)
  • Educated to GCSE grade C or equivalent in English and Maths (desirable)

£21,294.00-£23,010.00 per year
