Admin Team Lead - Inside IR35

Contract Term:
End of March 2024 (possible extension)

Hybrid Working (two days per week office based - Nottingham)


Department for Education (DfE) is responsible for children's services and education, including higher and further education policy, apprenticeships, and wider skills in England.

Job Purpose:


As an Admin Team Lead your main responsibilities would be to:

  • Respond to escalated queries
  • Draft responses to complex queries, escalated from ZenDesk support agents, using standard responses.
  • Draft unique or personalised responses where required, seeking sign off from SEO before sending.
  • Relationship management with schools and providers
  • Build effective working relationships with schools and providers, ensuring they understand the eligibility criteria and what we need them to do to help verify eligibility.
  • Act as a first point of contact for schools and providers to ask queries.
  • Support with query answering where demand dictates a need
  • If demand exceeds current capacity, support ZenDesk agents with answering queries received, using standard responses
  • Support to Standing Data process to ensure bank details are being captured correctly and accurately
  • Work closely with Standing Data team to ensure bank details are collected in a timely manner.
  • Follow up any outstanding bank details or issues with submitted details
  • Securely share data for validation with Home Office, to verify applicant passport and visa details, handling data in line with data protection legislation.
  • Request necessary details from schools to verify applicant identity and employment details, handling data in line with data protection legislation.
  • Review validated data and update relevant documents.
  • Chase late responses and ensure 100% response rate received, escalating issues to SEO
  • Managing and processing appeals
  • Record details of received appeals.
  • Collate evidence to support decisionmaking
  • Communicate outcomes to appellant
  • QA checks on proposed payment files and escalation of issues to management team
  • Check payment files to ensure accuracy
  • Escalate any discrepancies or concerns to SEO
  • Send completed, QAed file to payroll

Essential:


  • Comfortable working in uncertain environments and at pace.
  • Good relationship management skills, building new relationships with providers and schools to ensure swift receipt of verification checks.
  • Confident working with and protecting sensitive personal data, ensuring all data and fraud protection processes are followed.
  • A good team player, working closely with and overseeing the work of Delivery Support Administrators, and fostering a collaborative working environment.
