As PMO Support Officer within the Portfolio Management Office you will report directly to the PMO Analyst and will work collaboratively with key stakeholders across our wider Transformation Directorate.
Planning and Scheduling
- Assisting with maintaining appropriate systems to enable effective project planning and scheduling, and management of milestones.
Monitoring and Reporting
- Assisting to maintain project controls and produce project reports.
- Developing project performance reports.
- Assisting in the preparation of regular status reporting.
Stakeholder Management/Communications
- Assisting in managing and engaging with a wide range of internal and external stakeholders.
- Assisting with setting up and running workshops.
Risks, Assumptions, Issues and Dependencies
- Ensuring project risk, assumption, issues and dependencies are reviewed as an integral part of the governance cycle.
- Identifying and escalating matters relating to project risk, assumption, issues and dependencies to the Project Manager, PMO or Portfolio.
- Ensuring logs are updated and mitigating actions followed up.
Governance and Assurance
- Assisting with implementing, updating and maintaining the various PMO project control and governance artifacts.
- Supporting knowledge and information sharing process and maintaining the lessons learned central repository.
- Assisting with producing PMO reports.
- Supporting the successful implementation of the PMO's strategy, responsibilities, services and deliverables.
Administration
- Providing secretariat support, taking meeting notes and minutes and ensuring Boards papers are delivered on time, and to the required standard.
- Responsible for project file management using robust version control ensuring that all changes to documents under configuration control are documented and controlled.
- Working flexibly across the PMO team to provide daytoday support for the various functions.
Person specification:
We are looking for a great PMO Support Officer who has an interest in working in a project environment and who demonstrates the following skills and experience;
- Close attention to detail and the ability to develop and implement effective administrative processes.
- Excellent organisational and prioritisation and the ability to manage your workload and deliver against challenging deadlines.
- Good written and verbal communication.
- The ability to build effective relationships and work collaboratively with a diverse range of stakeholders.
And experience in:
- Using Microsoft Office 365 software (e.g. PowerPoint, Excel, Outlook, SharePoint and Word).
- A recognised entry level Project Management qualification, such as APM Project Fundamentals or PRINCE2 (Foundation) or similar.
Experience of:
- Working in a technical programme or project environment.
- Microsoft Project.
- Working with Project Portfolio Management Tool (PPM) or a similar Project Management Tool.
- Delivering PMO support in a technical or business transformation.
